I. Mission of the Department: The Finance department in WWF Singapore is to provide donors, stakeholders, and business partners with sound financial and internal control and governance in alignment with the Singapore Charities Act, Financial Reporting Standards, and WWF policies. Analytics & Business Partnering

• -Provide insights on the key metrics the business is trying to drive, and propose new possibilities or solutions to short-term business issues
• Business partner to conservation, communication, and marketing teams including budget control, income, cost, cash flow, and productivity analysis

Budgeting and Forecasting

• Work with the Finance Director and the Heads of Departments on high-level targets and assumptions to prepare and submit the department budgets
• Work with cross-functional counterparts to understand and challenge the components of forecasts to improve accuracy and quantify risks & opportunities
• Challenge business partners when budgets and forecasts are not delivering the business goals
• Forecast, monitor, and track project income utilisation and expenditures against budget, manage project cash flow, and identify funding needs

Process and Control

• Ensure effective department resource allocation through cost productivity analysis
• Implement best practice processes across the organisation to ensure consistency
• Review agreements from a financial perspective, including but not limited to accuracy of financial figures, alignment with WWF network standards/templates where applicable, budget and cash flow considerations, and completeness of supporting documents

The Job

Reporting into Managing Director (Chief Executive Officer), the Group Finance Manager is to lead the Accounts Teams from various business units to:

- Consolidate Periodic Group Financial Reports / Financial Analysis, close and prepare annual audited financial statements (P&L) – Financial Year 1 April – 31 March.

- Prepare sales and cost forecast, cashflow forecast, management accounts for the Group.

Job Title: Finance Manager (ID8164)
Location: Tai Seng, Singapore
Working Hour: Monday – Friday 9am – 6pm
Salary: $4500 - $5200

Job Description:
• Financial Planning and Analysis: Developing and implementing financial plans, budgets, and forecasts. Analyzing financial data and providing strategic recommendations to improve financial performance and support decision-making processes.
• Financial Reporting: Preparing accurate and timely financial reports, including income statements, balance sheets, and cash flow statements. Ensuring compliance with accounting principles, regulations, and reporting standards.
• Budgeting and Cost Control: Creating and managing budgets for various departments or projects. Monitoring expenses, analyzing variances, and implementing cost control measures to optimize financial resources.
• Cash Flow Management: Monitoring and managing cash flow to ensure sufficient funds are available for operational needs of all subsidiaries. Overseeing cash flow forecasting, cash flow analysis, and working capital management.
• Financial Risk Management: Identifying and assessing financial risks and developing strategies to mitigate them. Implementing internal controls and procedures to safeguard company assets and ensure compliance with regulatory requirements.
• Financial Operations: Managing day-to-day financial operations, including accounts payable and receivable, invoicing, payroll processing, and general ledger maintenance. Ensuring accuracy, timeliness, and efficiency of financial transactions and records.
• Financial Decision Support: Providing financial analysis and support for business decisions, such as investment evaluations, pricing strategies, and potential mergers or acquisitions. Conducting financial due diligence and assessing the financial viability of projects or initiatives.
• Stakeholder Communication: Collaborating with internal and external stakeholders, including executives, department heads, auditors, and financial institutions. Communicating financial information, performance updates, and strategic recommendations effectively.
• Team Management: Leading and supervising a team of finance professionals. Setting goals, providing guidance, conducting performance evaluations, and fostering a positive and productive work environment.
• Compliance and Audit: Ensuring compliance with financial regulations, laws, and reporting requirements. Coordinating and facilitating internal and external audits, addressing audit findings, and implementing corrective actions.

Requirement:
• Candidates must possess a degree in Accounting/Finance or at least 5 years of related experience.
• Knowledge and proficiency in Autocount
• Strong analytical skills.

Job Summary

The Finance, HR, and Office Admin role plays a pivotal role in supporting the smooth functioning of our organization across multiple domains. The successful candidate will handle a range of responsibilities encompassing finance, human resources, office administration, and project support functions.

Principal Duties and Responsibilities

1. Finance Support (60%)

· Maintain accurate records of financial transactions, including invoices, receipts, payments, expenses, and grants-related documents.

· Handle invoicing, receipts, payments, and expenses, ensuring compliance with accounting standards and grant guidelines.

· Assist in updating project Profit and Loss (P&L) statements and preparing monthly financial reports.

· Conduct budget vs. actual analysis, including grants utilization tracking.

· Manage vendor relationships and upload invoices in vendor portals.

· Maintain proper documentation of grant approvals, correspondences, and grants-related invoices/receipts.

· Support auditors during financial year audits, including grants-related audit trails.

· Reconcile Accounts Receivable (AR), Accounts Payable (AP), and bank statements, including grants-related transactions.

· Prepare management accounts and assist in budgeting and financial planning.

· Manage GST registration and compliance for grants-related activities.

· Prepare grant submissions and maintain proper documentation of grant approvals and correspondences.

· File invoices/receipts related to goods and services supported by grants ansubmit claims on government grant portals.

· Ensure compliance with grant guidelines and regulations in all administrative processes.

· Work with accountants to produce quarterly GST Returns, ensuring accuracy and compliance with tax regulations.

· Maintain and manage all necessary insurance policies for the company and ensure timely policy renewals.

2. HR Support (10%)

· Manage employee records, including onboarding, staff documents, and HR policies.

· Assist in recruitment efforts, including coordinating interviews and candidate communications.

· Process payroll, including CPF submissions and IR8A filings, and ensure accuracy in salary payments.

· Process and verify staff expense claims, ensuring compliance with company policies and guidelines.

· Maintain oversight of staff leave and benefits, including annual leave, medical leave, and other entitlements.

· Ensure the company is adequately resourced by deconflicting leave schedules of all staff.

Support HR initiatives and compliance with labour laws and regulations.

3. Office Administration (20%)

· Procure office supplies, equipment, and services, ensuring cost-effectiveness and timely delivery.

· Coordinate travel arrangements for team members, including flight bookings, accommodations, and itinerary planning.

· Provide administrative support to senior management, including calendar management, meeting coordination, and expense claims processing.

· Manage corporate secretariat liaisons and maintain corporate documents and contracts.

· Oversee office cleanliness and maintenance, including coordinating with cleaning services and maintenance vendors.

· Maintain organized filing systems for documents, records, and office correspondence.

Facilitate internal communication channels and coordinate meetings, events, and office logistics.

4. Project Support (10%)

· Manage registration portals and logistics for events, including VIP management.

· Prepare documentation for Government Grant Applications and Claims, and work with Government Agencies and auditors on project-based initiatives.

QUALIFICATIONS AND SKILLS

· Ideal to have 3 - 5 years of relevant experience in finance, HR, and office administration roles.

· Proficiency in Office Tools such as Excel, Word, and PowerPoint is a must.

· Proficiency in other Office Tools, e.g., Access, Project, and others, should be highlighted as it will be advantageous.

· Proficiency in QuickBooks or similar business accounting software should be highlighted as it will be advantageous.

· Strong organizational skills, attention to detail, and ability to multitask effectively.

· Self-motivated, proactive, and able to work independently with minimal supervision.

· Must be at least 18 years old, with no upper age limit.
