Responsibilities :

· Develop knowledge and understanding of NPI projects, R&D projects, component mix requirements, special engineering info, tooling requirements and fabrication requirements for machined components worldwide.

· Develop, refine and continuously improve the supplier base for a specific commodity to ensure highest levels of customer service consistent with sound inventory policies while working to control costs for purchased components sourced from third party suppliers.

· Maintain ASL for commodity suppliers, help maintain proper supplier segmentation for machined components, maintain preferred supplier tree for machined components categories – CNC, Die casting, Stamping, Plastic Injection Molding, Sheet Metal, etc.

· Ensure proper monitoring of supplier database, accuracy of GEP spend data and supplier taxonomy, maintain a minimum required number of suppliers in the ASL and continue to aggregate and reduce the supplier base to minimum number of suppliers required for the commodity.

· Responsible for accurate and timely communication, reporting and analysis for the commodity management process.

· Devises ways and means to maximize commodity buying efficiency and minimize supply risk.

About the Position

Are you organized, proactive, and passionate about supporting communications?

We're looking for an Office Administrator to provide comprehensive administrative and planning support to the Communications and Marketing Department, ensuring the smooth operation of all activities.

In this role, you'll provide high-level secretarial support to the Global Communications Lead, facilitating the efficient execution of their responsibilities. You’ll work closely with team members, staff from other departments, and the WorldFish Global Communications Network to ensure seamless communication and collaboration across the board.

The successful candidate will provide comprehensive, efficient and effective operations administrative support to the Communications and Marketing Department, including but not limited to:

Operations and Office Administrative Support

Responsible for delivering overall and day-to-day effective administrative support services to Global Communications Lead and the Communications team.
Act as focal point for the Communications department of WorldFish to manage and coordinate responses from relevant departments/staff to public emails received via the general WorldFish and CDRD mailboxes.
Responsible in handling all procurement process matters related to the needs of the department, including submission of purchase requests, purchase orders, and goods receipts the expenses via OCS electronic system.
Assist the Publishing and Operations Manager in managing the Communications department’s vendors and consultancy contracts, including requesting for quotes, processing contracts, routing for system clearance/ approval, setting up payment schedules, and coordinating invoice submission.
Assist the Publishing and Operations Manager in managing the Communications helpdesk inbox by ensuring requests / queries are assigned to the relevant team members.
Responsible for organizing travel arrangements, including coordination on visa applications, flight itineraries, logistic arrangement (accommodation and transport) and documentation pertaining to travel requests for Global Communications Lead.
Responsible for updating and maintaining the department’s shared folder (e-filing) for institutional record and reference purposes.
Responsible for administering the procurement of office supplies, equipment and digital subscriptions.
Manage monthly corporate credit card reconciliations and process travel claims and expense liquidations.

Team Support: Planning, Meetings & Coordination with other Departments

Schedule and coordinate all strategic meetings of the department (internally and with research project and country teams) on corporate communication priorities, annual work plan, special events and campaigns and is responsible for drafting and disseminating meeting agenda, minutes and action points.
Responsible for coordinating the quarterly meeting for the WorldFish global Communication Network team on preparations for special events and campaigns and is responsible for drafting and disseminating meeting agenda, minutes and action points.
Provide printing and shipping support on marketing and communications products, banners, posters, publications, and other collateral materials to country offices and event venues as needed.

Event Planning and Logistics

Provide logistical support for internal and external WorldFish events, including managing venues, materials, and catering.

Provide additional support for the Centers visitors program and ensure smooth operations.

Degree in Electrical Engineering.

About the Position

The Office Administrator is responsible to provide comprehensive administrative services to the Administration and Operation Unit, as well as the full range of high-level secretarial support to the team. The Office Administrator proactively liaises with team members and staff in other departments as necessary, in order to provide constant and consistent services to facilitate Department’s functions, streamline practices, support planning and execution of meetings, and handle all operations related to the unit.

The successful candidate will:

Provide comprehensive, efficient and effective advanced administrative and secretarial support services.
Manage the day-to-day office communication that includes drafting of correspondence, mail distribution (incoming letters), incoming and outgoing communications and routing it to the appropriate personnel for action/follow-up.
Responsible in providing support to the Leaders and senior level staff with regards to their travel arrangements including coordinating with Travel Desk for all travel requests including visa application, assists travelers on the logistical arrangements (e.g. hotel booking and ground arrangements), submit travel claims/liquidations, etc.
Assist in planning, organizing, and overseeing the coordination of the Center's sponsored conferences, workshops, training courses, and other activities.
Work with Administration & Operations Unit to coordinate the logistic arrangements for visitors/guests attending conferences/meetings/workshops.
Serve as the principal source of information to all HQ based Scientists on any related matters concerning relevant policies, procedures, programs and office activities.
Continuously identify and initiate improvement or new administrative systems for better management and greater efficiency within the Research Programs.

Higher Diploma in relevant field, such Business Management or any other field.
Minimum 5 years’ work experience in an office environment, preferably with some experience in an international, non-profit or multinational organization.
Experience of providing administrative support services to senior staff in a high-profile organization.
A high level of competence in the operation of standard office information and communications technology applications including standard Microsoft Office packages - MS Word, Outlook, Excel and PowerPoint.
Excellent verbal and written communication skills in English.

Project Overview

WorldFish is celebrating its 50th anniversary in 2025 and would like to publish a book marking this grand milestone. WorldFish has played a pioneering role in bringing to light the critical role small-scale fisheries play in supporting livelihoods and nutrition needs of millions of people in low- and middle-income countries. It has, over the decades, led research to advance small-scale fisheries, aquaculture and related social sciences and championed their cause on global platforms to embed aquatic foods in the food systems landscape and position them as a uniquely powerful pathway that can deliver on multiple Sustainable Development Goals. The book will trace the journey of aquatic foods on the global stage through the lens of WorldFish’s history, noting various transformative innovations and research, impact in countries, grand initiatives convened, and alliances forged to advance the agenda of sustainable development through aquatic food systems. The book will end with a forward-looking vision.

Scope of Work

The successful applicant for this role will work closely with WorldFish Communications to:

Interview scientists (alumni and current) to gather highlights, quotes and photos.
Create a narrative weaving in big milestones, impact, partnerships, quotes and photos.
Work in consultation with multiple people for the review and finalization process.
Provide design and layout.
Produce ready-to-print publication and online web-friendly pdf version.

Deliverables

Ready-to-print high-quality publication (between 30-40 pages, counting as single).
Web-friendly pdf of the publication.

The position will span up to 5 months (from 02 December 2024 to 15 May 2025) and it will not involve traveling. The consultant is expected to work remotely.

Reporting

The selected consultant will work closely with and report to WorldFish Global Communications Lead.

Skills, Experience and Knowledge

The successful candidate for this role will have the following experience and skills:

Prolific and preferably, published writer in the field of popular science, particularly in the realm of environment, sustainable development, sustainable diets, sustainable planet, fisheries, and/or coastal communities and livelihoods.
Flexible and easy-to-adapt to accommodate the research process, schedules of scientists and the emerging narrative to ensure a compelling story and a high-quality product.
Experience working with scientists and synthesizing outcomes to write insightful pieces (blogs, op-eds).
Creative and be able to mix text and visuals to create an attractive and engaging narrative.
Minimum 8-10 years of experience in writing, editing and producing articles and publications, preferably with science, environment and/or oceans background; preferably a journalistic background.

Interested consultant(s) are requested to provide a detailed budget proposal with breakdown of charges – research, writing, design etc. and any other costs related to the consultancy. The budget should be submitted along with a brief outline of approach, experience and portfolio of related/relevant products.

Applications will be evaluated based on the experience and past products, the proposed approach and any value-added ideas/suggestions. Shortlisted candidates will be invited for an online interview or be requested for additional information before final selection.
