Roles and Responsibilities

[Community Management]

• Track and monitor posts by KOC moms in Facebook groups
• Respond to comments and questions according to a pre-approved FAQ guideline document
• Find opportunities to engage in positive conversation around the campaign topic

Community Management Periods:

• Weekdays: 9am to 7pm with regular check-ins onto the FB groups Weekends: 2-4x check-ins to the FB groups

[Daily Reporting]

• To provide a daily email report on the volume of conversations and a general breakdown of the type of engagement received on the posts
• · To provide a weekly summary report on the volume of conversations and general breakdown of the type of engagement received on the posts

[Adverse Event Reporting]

• In the event of an adverse event, to do the necessary reporting on the stipulated platform
• Training will be provided for managing an adverse event

Role Overview:

We are seeking a highly organized and detail-oriented Junior Influencer & social media coordinator to support our Influencer and Social Media Manager. This role will focus on the administrative and operational aspects of influencer partnerships and community engagement. Key Responsibilities:

• Assist in sourcing, vetting, and onboarding influencers aligned with IM8 Health’s brand values and goals.
• Handle administrative tasks for influencer campaigns, including scheduling posts, tracking deliverables, and coordinating content approvals.
• Maintain a centralized database of influencers and update it regularly with contact information, campaign history, and performance metrics.
• Monitor influencer posts for adherence to brand guidelines and compliance, flagging any discrepancies.

• Handle administrative coordination with influencer agencies, including contracts, payment schedules, and logistics.
• Support team meetings by preparing agendas, taking notes, and following up on action items.
• Help manage content assets, maintaining an organized digital library of influencer and community content for quick access.
• Assist in managing shipping logistics for influencer gifting programs, ensuring smooth and timely delivery.

• 1+ year of experience in social media, influencer marketing, or digital marketing (internship experience welcome).
• Strong organizational skills and attention to detail with the ability to handle multiple tasks simultaneously.
• Excellent written and verbal communication skills, with a friendly and professional approach.
• Familiarity with social media platforms (Instagram, TikTok, Facebook, etc.) and social media management tools.
• Basic knowledge of data analysis and reporting metrics; ability to compile and interpret social media data.
• Proficiency in Microsoft Office Suite and/or Google Workspace. Knowledge of project management tools is a plus.

ESSENTIAL DUTIES & RESPONSIBILITIES

1. Client Management

• Establish a partner-relationship with clients by being involved in the business environment.

• Provide business solutions through media approaches for assigned brands.

• Ensure professional deliveries in all client dealings.

• Manage clients' requests appropriately (e.g. push back on unreasonable timelines, make judgment or evaluate value on ad hoc requests).

2. Business Partner Management

• Leverage good relationships with business partners (e.g. creative, media owners), hence the ability to obtain updated information that contributes to the work objectives, value-add to clients or a smooth campaign placement.

• Conduct professional briefings to business partners on innovations and ensure alignment to clients' objectives.

• Ensure clear documentation on all communications with business partners.

• Ensure best value from all negotiations across media owners and campaigns.

• Manage and resolve conflicts between team members and media owners.

3. Research & Media Applications Proficiency

• Proficient in all syndicated and proprietary media applications.

• Display competency in using advanced functions in each tool.

• Able to tap into proprietary consumer insight applications or alternative sources for more in-depth analysis.

• Proficient in using agency's planning approach.

4. Financial • Assist the team members to reconcile all media payment variances of assigned brands.

• Work with team members to ensure accurate and timely invoicing (e.g. regular review of unbilled reports, resolve unbilled cases with Finance).

• Follow-up with clients on ageing matters.

5. Industry Knowledge (Consumer, Business or Brand Insights)

• Exhibit good understanding and forecast on media/ industry/brand development & implications to the businesses.

• Evaluate the strategic implications of media/ industry/brand developments.

• Leverage media to achieve brand objectives, hence providing in-depth evaluations or proposals to assigned campaigns.

• Initiate alternative resources on consumer/brand/ business insights apart from industry sources.

6. Investment Management

• Optimize the given investment or allocate appropriate investments by medium/brands.

• Provide investment consultation to client on appropriate budget to meet the desired objectives.

• Supervise on cost management for brand across medium used.

• Master contract management (e.g. propose, negotiate, track fulfillment, etc.)

• Input on action plans in expenditure reports.

• Reconcile all sources of costing/investment variances.

7. Corporate Responsibility

• Participate in pitches and awards submission.

• Demonstrate appropriate behaviors to uphold the company's image, reputation and credentials.

Billing Operations

Manage the media billing processes which involves,

• Co-coordinating with media planning teams on billing instructions
• Media plan actualization and reconciliation on monthly basis
• Update spots and remarks on Publicis’s proprietary billing platform based on actualized amount
• Generate proforma invoices for shared service team’s approval
• Resolving billing discrepancies with relevant stakeholders e.g. media vendors, media, finance and shared service teams
• Billing status monitoring and reporting
• Participate in finance WIP billing meetings to make sure Client's invoices get processed and meet billing timelines.

Other billing requirements include,

• Support requirements for onboarding of new suppliers
• Ensure 100% billing completion within three months of activity end date
• Resolve/respond to client billing queries

Media Buying (Offline and/or Online)

• The day-to-day media buying for the agency
• Deliver excellent master contract pricing through negotiation and relationships with media owners, wherever applicable
• Develop understanding of client business and role of online in delivering objectives ways of working from planning to getting approval and billing process
• Deliver added value opportunities across clients wherever possible
• Book all campaigns according to the brief (with confirmed media) and ensure financials are correct
• Monitor campaign delivery and reconcile any under deliveries
• Assist with auditing process across specific client base
• Follow through the closed job for invoicing process (incl. (proof of ads, supplier invoices, TV reporting, signed schedule)
• Constantly monitor performance and delivery of ad server and vendor reporting.

We’re looking for an enthusiastic and creative Social Media & Content Specialist to help us engage with our audience through exciting and relatable storytelling. In this role, you’ll have the opportunity to build your skills and learn how to craft our social media voice.

Reporting to our Social Media Lead, you’ll collaborate with our marketing, business development, and customer experience teams to support the growth of our social media channels and online community. Your primary responsibilities will include assisting in the creation and distribution of valuable content across social platforms like Instagram, Facebook, YouTube, and LinkedIn, helping us share content that our followers love.

Key Areas of Responsibility:

• Generate original content for a range of marketing and communications materials.

These include scanning, news searching, editing, data entry, and consistently high standards of translation quality. Job Description

• Completion of all works within the timeline and the time parameters is set based on SLA and company target.
• Scanning, news searching, editing, data entry and consistently high standard of translation quality. 
• Ensures high quality and relevancy of translation - translation is clear, concise and free of typographical errors
• Maintain a high level of work quality with zero human error.
