Job Summary

The General Admin will be responsible for handling a variety of administrative tasks to support the efficient operations of Blum’s regional distribution center. This role includes staff administration, onboarding of new employees, supervision and revision of employee working time records, supplier liaison, free zone visitor pass coordination, coordination of personal protection equipment and uniforms, and supporting management in their day-to-day tasks.

Key Responsibilities

Staff Administration: Manage all administrative tasks related to staff, including maintaining personnel files, updating employee information, and assisting with employee queries.
Onboarding of New Employees: Facilitate the onboarding process for new hires, including preparing onboarding materials, conducting orientation sessions, and ensuring all necessary documentation is completed.
Employee Working Time Record Supervision and Revision: Monitor and review employee working time records to ensure accuracy and compliance with company policies.
Supplier Liaison: Act as the point of contact for suppliers providing cleaning services, waste management, and building maintenance. Ensure timely and efficient coordination of services.
Free Zone Visitor Pass Coordination: Manage the issuance and renewal of visitor passes for the free zone, ensuring all procedures and regulations are followed.
Coordination of Personal Protection Equipment/Uniforms: Oversee the distribution and maintenance of personal protection equipment and uniforms for staff, ensuring that all employees have the necessary equipment to perform their duties safely.
Support Management: Assist the management team with their day-to-day tasks, including scheduling meetings, preparing reports, and other administrative functions as needed.

Required Qualifications & Skills

Bachelor’s degree in Business Administration, Human Resources, or a related field.
Minimum of 2 years’ experience in an administrative role, preferably within a logistics, manufacturing, or distribution environment.
Strong organizational and multitasking skills.
Excellent communication skills and proficiency in English and Malay.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and handle sensitive information.
Detail-oriented mindset with strong analytical and problem-solving skills.

JOB PURPOSE:

2. Administration

Oversee the ISO documentation control and ensure procedures are followed according to the requirements and facilitates the ISO audit process
Liaise with company secretary to resolve administrative issues (i.e. company property)
Monitoring office maintenance, stationery, renewal matter etc: CIDB certificate, quit rent, assessment and office refreshment.

3. Managing Personnel

Guide and work with the HR and Admin executives to ensure the smooth running of all aspects of human resource functions and general administration of the company
Establish good teamwork between HR, accounts, admin and project teams
Oversee the interviewing, recruitment, and training of HR, accounts and admin personnel
Supervise and direct the day-to-day operation of the HR and admin team.

Prepare the cash flow report including cash book, supplier and customer aging for management to review company performance and ensure positive cash flow for payment to sub-con and vendor.
Prepare the bank reconciliation report and to ensure all the transactions perform accordingly to accounting system.
Maintain and organise proper filing accounting records to facilitate annual year-end financial audit.

4. Admin

Coordinate and follow up day to day administrative and operation activities of companies such as handle incoming and outgoing call, acknowledge receipt of mail and documents.
Implement and maintain ISO document control and procedures, arrange training under ISO requirement and to ensure all requirement of ISO been followed and renewed annually.
Monitoring office maintenance, stationery, renewal matter etc: CIDB certificate, quit rent, assessment and office refreshment.
Check and ensure various staff claim etc: mileage, toll, entertainment compliance with company policy.
Prepare internal company certificate, back charge and internal progress claim.
Assist in banking matter etc: bank draft, tender/ performance bond.
Assist in admin purchases, issue purchase order and key in invoice to the system.

Current business activities of MAAG include; Investment Holding, Education Services and a general insurance business via MAA General Assurance Philippines, Inc.

Notwithstanding the aforesaid business portfolio, the Group is currently engaged in an extensive search for additional new core business(es) to further diversify its income streams.
