JOB PURPOSE:

• Oversee the day-to-day management of human resource and administration function from on-boarding to exit / termination in providing full employee support to the company

Required to- DO (Key Result Areas & Activities)

1. Human Resource

• Coordinate manpower requisitioning with departments and ensures staff recruitment follows company’s policies and procedures (e.g. candidate screening, job interviews) in order to recruit the best qualified candidates for vacant positions
• Coordinate and conducts orientation for employees to ensure that new employee are equipped with the necessary resources and information to start work
• Review and issue HR documentation such as employment letter, employee detail, probation and confirmation, leave, benefit and ensure that they are always up to date
• Perform full spectrum payroll processing to ensure accurate and timely payroll processing in accordance to statutory requirements
• Investigate and manage staff disciplinary issues through counselling and/or issuing warning, show cause and/or termination letters
• Identify and compile training needs to develop and implement training plan / schedules for all employees.
• Coordinate CIDB certified trainings for site employees to upkeep the validity of the certification
• Liaise with training provider to source for suitable employee training
• Propose revisions and amendments of HR policies to the Finance Director to ensure that policies are competitive with market practices and implements newly approved policies and procedures

2. Administration

• Oversee the ISO documentation control and ensure procedures are followed according to the requirements and facilitates the ISO audit process
• Liaise with company secretary to resolve administrative issues (i.e. company property)
• Monitoring office maintenance, stationery, renewal matter etc: CIDB certificate, quit rent, assessment and office refreshment.

3. Managing Personnel

• Guide and work with the HR and Admin executives to ensure the smooth running of all aspects of human resource functions and general administration of the company
• Establish good teamwork between HR, accounts, admin and project teams 
• Oversee the interviewing, recruitment, and training of HR, accounts and admin personnel
• Supervise and direct the day-to-day operation of the HR and admin team.

JOB PURPOSE

• Responsible for handling full set of accounts and daily operation accounting process especially in account receivable and payable and to ensure accuracy of reports for management to review company performance and cash flow position.
• Carry out day to day office operations including organizing and monitoring files and records and to support company procedures and activities

1. Account Receivable

• Key in daily sales invoice, incoming payment from customer to accounting system.
• Follow up on due work-done certificate and due collection from client to ensure month end company cash flow in positive position.
• Monitor and keep updating internal data in project summary for month end accuracy cash flow report.

2. Account Payable

• Key in daily supplier invoice, matching invoice with purchase order and delivery order correctly.
• Prepare certificate and request sub-con tax invoice, payment to supplier, staff salary and miscellaneous payment.
• Reconcile monthly statement of accounts from supplier to ensure all cost and expenses taken in accordingly.
• Monitor and check all double entry to general ledger to ensure correct records.

3. Monthly Reporting

• Prepare the cash flow report including cash book, supplier and customer aging for management to review company performance and ensure positive cash flow for payment to sub-con and vendor.
• Prepare the bank reconciliation report and to ensure all the transactions perform accordingly to accounting system.
• Maintain and organise proper filing accounting records to facilitate annual year-end financial audit.

4. Admin 

• Coordinate and follow up day to day administrative and operation activities of companies such as handle incoming and outgoing call, acknowledge receipt of mail and documents.
• Implement and maintain ISO document control and procedures, arrange training under ISO requirement and to ensure all requirement of ISO been followed and renewed annually. 
• Monitoring office maintenance, stationery, renewal matter etc: CIDB certificate, quit rent, assessment and office refreshment.
• Check and ensure various staff claim etc: mileage, toll, entertainment compliance with company policy.
• Prepare internal company certificate, back charge and internal progress claim.
• Assist in banking matter etc: bank draft, tender/ performance bond.
• Assist in admin purchases, issue purchase order and key in invoice to the system.

• Diploma or Degree Holder in Finance or Accountancy or other relevant professional certification.
• At least 2 years of working experience in a similar capacity.

Job PURPOSE:

• Lead the design team to prepare project schedules, bids / proposals, drawings and designs, ensuring they are completed on time and adhere to the established specifications and standards.

1. Design Development

• Study the project requirements to explore and provide options for the client through submitting proposals for minor redesign. 
• Provide instructions complete with drawing, tender specifications, project requirements and work / delivery schedules to the design engineer / drafter.
• Liaise with architects, clients and other consultants for the design on drawings, component catalogue compilations, amendment and update to ensure smooth operation of design and drafting according to client specification, standards and requirements.
• Coordinate and supervise work by CAD designers and other interfacing work to ensure design information is of the right quality and keeps pace with project timeline.
• Monitor the progress of drawing quality and completion to ensure that drawings are delivered on-time and accurately.
• Review designs to meet clients’ / consultants’ specification i.e. re-engineering and re-sizing of ductwork, piping systems, equipment and electrical routing

2. Tender Submission

• Assess, evaluate and clarify with client / consultant on all new tenders received to be fully aware of the scope and project requirements
• Support the Managing Director to determine the costing based on design detailed in the Request for Proposal (RFP) by providing design input into all tender proposals
• Participate in any tender technical clarification meetings with the main contractor and/or client and include any design and documentation requirement for addendums that are due to omissions from the tender either as a result of time constraints or from new owner requirements
• Attend to all technical tender queries and clarifications related to design during the tender period where required and participate in any negotiation meetings where technical matters require further clarification from the design perspective
• Streamline all required technical tender review and evaluation inputs from the design team to allow the tender to be evaluated from a technical perspective.

• Submit shop drawing in the time frame given to make sure no delay in project timeline.
• Gain an understanding of the site environment to ensure the new design is compatible with site condition for installation purposes.
• Translates the concept or design instructions from the design or project teams

into 2D/3D engineering drawings concepts for further approvals from the originator.

• Skill required revit 3D modelling.

2. Tender Submission

• Generate accurate bids using internal and external resources and using the costing method that is appropriate for the projects. 
• Understand what areas are involved in each tender participate to avoid over costing.
• Responsible for ensuring tender are submitted consistently ahead of the deadlines set by the tendering authority.
• Build a good working relationship with all supplier & subcontractor.
• Responsible for preparation and checking of tender documents to make sure meet all tender requirement.

• Inspect, identify and rectify any unsafe act and/or conditions at project site in order to protect the workers safety and health.
• Check on subcontractors works to ensure compliance of the relevant acts (OSHA 1994 & FMA 1967) and regulations.
• Liaise with project engineers on daily task at site and arrange necessary working platform a day before for the work to be carried out safely.
• Prepare necessary Permit to Work prior to start work, in order to check the mean of work area for the day is safe.
• Advise the company on matters related to the Act & regulations for the company to be in compliance with the applicable laws and other requirements.
• Notify the Department of Occupational Safety and Health within 7 days whenever there is any accident, dangerous occurrence, occupational disease or poisoning at site.
• Responsible to ensure non-compliance raised by main contractors to company under safety and health are closed within 3 working days.
• Conduct regular checks / inspections to ensure the mandatory use of Personal Protective Equipment at site.

2. Safety Training

• Conduct daily toolbox/pre task talk at site for workers to ensure that the workers are educated on the safety procedures of their work which is planned for the day.
• Ensure all workers and staff at the construction sites possesses the relevant certification for work to be carried out and have attended the necessary safety trainings.

3. Equipment Maintenance

• Inspect all powered and non-powered tools at project site, before they are given to workers, in order to check all tools are safe and fit for their purpose.
• Inspect all Personal Protective Equipment on monthly basis and to validate inspection sticker for the use of work by workers at site.

4. Report Submission

• Prepare daily observation report at site for the day’s work and submit it to the main-contractor’s Safety and Health Officer to submit it to Client Safety Dept.
• Prepare monthly Safety and Health performance report and submit it to Director General of the Department of Occupational Safety and Health before 30^th of every month
• Compile all inspection report of the month and submit it to main contractors of the Safety Department for monthly SHE Audit by client.
• Revise and submit Job Safety Analysis monthly to client to ensure all works at site are in accordance with standard operating procedures.

Required to - KNOW (Skills, Knowledge & Behaviours)

• Diploma/Degree in Occupational Safety and Health or equivalent or other relevant professional certification.
• At least 2 years of working experience in a similar capacity.
• Registered as a competent Site Safety Supervisor with the Department of Occupational Safety and Health and must be a valid Yellow Book Holder
• Valid Construction Industry Development Board (CIDB) and Safety and Health Induction for Construction Workers (SICW) certification. 
• Familiar with the established Law & Regulation under OSH such as (OSHA 1994 & FMA1967)
• Physically fit and able to withstand the conditions at construction site.
• Knowledge of Basic Scaffolding will be an added advantage.
• Good interpersonal and communication skills to work with a variety of different stakeholders such as engineers, consultants, clients, suppliers and sub-contractors.

3、設備維護

• 在將所有動力和非動力工具交給工人之前，請檢查專案現場的所有工具，以檢查所有工具是否安全且適合其用途。
• 每月檢查所有個人防護裝備，並驗證現場工人工作使用的檢查標籤。

4.報告提交

• 準備當天工作現場的日常觀察報告，並提交給總承包商的安全和健康官員，然後提交給客戶安全部門。
• 編製每月安全與健康績效報告，並於每月 30^日前提交給職業安全與健康部部長
• 總結當月所有檢查報告，提交給安全部主承包商，供客戶每月進行SHE審核。
• 每月修改並向客戶提交工作安全分析，以確保現場的所有工作均符合標準作業程序。
