Financial Closing

• Perform monthly and yearly financial closing – to ensure all information are proper recorded.
• Perform Balance Sheet reconciliation on monthly basis – to ensure the accuracy and properly classified of transactions.
• Responsible for recharges to and from intercompany.

Account Payables

• Ensure that expenses allocation to business unit and complied with Company Policies and Local regulation.
• Payment process – assembling and verifying the accuracy as well as the completeness of supporting documents of Suppliers’ Invoice with Purchase Order and Delivery Order in procurement system, prepare Payment Vouchers in accounting system and perform payment in the bank electronic payment system on a timely manner to avoid any late payment charge.
• To be the contact point for the vendors on day-to-day financial related issues including reconciliation of the vendors’ ledgers.
• Procurement analysis – to ensure purchases are in accordance to procurement policies and follow up on status of goods received and invoice from vendors.

Contract Management

• Contract management – to ensure compliance with procurement policies.

Others

• Continually update SOPs, check and balance actions, identify and drive accounting and finance process efficiencies and improvements.
• Assist in handling cash flow management, audit and tax matters and liaise with relevant authorities and bodies.
• Involvement and support in projects including accounting related system upgrade or customization, procurement and yearly sub-actions.
• Any ad-hoc duties as and when required.

• Coordinate and manage all tenant fit-out and reinstatement between internal and external parties.
• Monitor and review submission of tenant design for full compliance with IPC Shopping Centre’s standard on design guideline, local legislation requirement and Ikano risk requirement, while adhering to fit-out schedule.
• Close liaison with leasing and facilities management on new tenant as well as tenant’s change request.
• Review and manage continuous improvement with respect to Standard Operating Procedure (SOP) i.e. Fit-Out Manual, relevant forms / checklist.
• Incumbent is to be fully accountable on all aspects of tenants’ fit-out works (from receiving of update from leasing, design submission until renovation work at site) while adhering to accomplishing within the stipulated challenging timeline.
• Responsible for fit-out gap finding and remedy closure amid pre-opening inspection.
• Sourcing of quotation, preparation of purchase order and invoice submission to Finance for ad-hoc works which are related to landlord provision.
• To keep up-to-date filing of fit-out related matters.
• Handling of contractor work permit approval, documentation and filing.
• Key person representative of the company on fit-out related matters between the company and the tenant.
• Other ad-hoc assignment as required.

Your assignment

• Oversee day-to-day safety and security operations within the shopping centre.
• Assist in developing EHS and security policies, procedures and training materials and promote EHS program to ensure compliance.
• Assist to develop and implement crisis management and emergency response plans.
• Coordinate with local authorities, emergency services, and relevant stakeholders during emergencies.
• Conduct pre-opening inspections to ensure that tenant fit-out activities comply with company safety and security guidelines.
• Utilize CCTV systems and other security technologies to monitor the shopping centre premises.
• Maintain accurate records of security-related activities.
• Manage access control systems and ensure the security of entry points.
• Issue and monitor access cards for coworkers, tenants, and authorized personnel.
• Review and approve permit to work, including hot work permits, impairment permits, working at height permits, and other safety and security permits.
• Collaborate with internal departments, tenants, and external partners to enhance overall safety and security.
• Foster positive relationships with law enforcement agencies and emergency services.
• Provide ongoing training to the security team on relevant security procedures and protocols.
• Conduct investigations into security breaches, thefts, or other incidents, and liaise with law enforcement agencies as necessary.
• Maintain accurate records of security incidents, investigations, and training activities, and prepare reports for management review.
• Assist in conducting internal safety and security audits and firefighting equipment testing.

• You handle the daily operation of Småland, the children playground such as registering kids for the playground admission, taking care of the children and ensure their safety during their stay in the playground.
• You ensure good teamwork in the operation of the playroom during the day, which includes toilet needs and taking care of individual children, ensuring that there is a good balance among children per play activity.
• You check and maintain the safety and cleanliness of the playroom according to stated guidelines and checklists together with the cleaners and technical staff.
• You assist to handle emergency cases happening in Småland, such as accidents, incidents or sudden sickness. 
• You ensure safety and evacuation procedures are carried out, such as handling missing children and evacuation in case of fire or emergency announcement.
• You assist to make announcement through the internal paging system when necessary.
• You communicate to the manager on issues, concerns, and incidences with regard to safety and security of the children and ensures the IKEA store is a safe and secure environment at all times for visitors and co-workers.
• You submit a daily Småland report (number of children and results in case of accident) and record information accurately so that the resulting analysis can be used to improve customers’ future shopping experiences.
• You check the availability of toys and videos, ensure these are fully functional and organize the store toys and materials to ensure order in activity areas.

Casual Leasing of Promotional Spaces & Communities Events

• To handle casual leasing of promotional spaces in the Shopping Centre according yearly budget.
• To plan and execute communities-driven event & campaigns in-line with the marketing objectives and positioning.
• Supervise the set-up of events, roadshow, fair and activities, coordinate with internal departments and external service providers, exhibitors and contractors.
• To source for suitable and relevant external parties in all aspects of casual leasing that are in-line with the Centre’s Brand Values and Market Positions.
• To develop relationship with tenants and exhibitors to secure take up of promotional spaces in the centre.
• To build relationship with communities, tenants, vendors and event organizer in order to co-create events, thematic roadshow and fair according to their Advertising and Promotional needs.
• To assist the manager in ensuring that the monthly income target is achieved through profitable rental of promotional space, inventory rental, and any other available revenues.
• Track and measure the outcome on events and activities to ensure the highest possible occupancy with good yields.
• To be well aware and informed of latest trends in the market in order to bring in relevant and up-to-date communities’ events and sales activities into the centre.

• Supervise the set-up of advertising mediums and coordinate with internal departments and external service providers, exhibitors and contractors.
