RESPONSIBILITIES

• Seek partnerships with institutes, universities, and organizations to expand
• business networks.

7. Event Participation:

• Represent SPS by attending events, trade shows, or conferences as
• needed.

8. Quotation & Invoice Processing:

• Prepare and process quotations and invoices accurately and timely.

9. Training Support:

• Assist in training registration, confirmation, and certificate issuance for
• participants.

10. HRD Claimable Course Coordination:

• Coordinate HRD Claimable Course applications with HRD Corp.

11. Event Preparation Support:

• Support in preparation for public training and events.

12. Training Preparation Coordination:

• Organize training logistics including venue, materials, registration, and
• certifications.

13. Participant Communication:

• Maintain communication with participants via email, WhatsApp, etc.,
• providing necessary information and support.

Job Responsibilities:

Typically responsible for assisting the company’s President or CEO in handling various business affairs.

Key Duties:

1. Administrative Support: Provide daily administrative support to the President, including scheduling, handling documents, answering calls, and responding to emails.

2. Business Coordination: Assist the President in managing various business matters, such as organizing meetings, welcoming visitors, and handling contracts.

3. Information Collection and Analysis: Gather industry information, market trends, and competitor data, analyze them, and report to the President to aid in informed decision-making.

4. Project Management: Assist the President in advancing key projects, including developing project plans, tracking progress, and coordinating resources.

5. Client Relationship Management: Help maintain relationships with key clients, including regular communication and handling client feedback.

Requirements:

- Willingness to travel and proficiency in driving a car.

- Fluency in Chinese, English, and Malay.

- Bachelor's degree with over 5 years of work experience or recent Master's graduates.

As the Executive Housekeeper, you will be responsible for one of the biggest departments in the hotel. Your influence on the team will ensure the delivery of an exceptional customer experience. You will be in charge of the entire housekeeping team and ensure due to your excellent knowledge and management skills that all guest rooms and public areas are sufficiently cleaned and up to the high standards. Further you will provide the team members with guidance and training , implement SOPs and ensure well maintained guest facilities.

Financial Closing

• Perform monthly and yearly financial closing – to ensure all information are proper recorded.
• Perform Balance Sheet reconciliation on monthly basis – to ensure the accuracy and properly classified of transactions.
• Responsible for recharges to and from intercompany.

Account Payables

• Ensure that expenses allocation to business unit and complied with Company Policies and Local regulation.
• Payment process – assembling and verifying the accuracy as well as the completeness of supporting documents of Suppliers’ Invoice with Purchase Order and Delivery Order in procurement system, prepare Payment Vouchers in accounting system and perform payment in the bank electronic payment system on a timely manner to avoid any late payment charge.
• To be the contact point for the vendors on day-to-day financial related issues including reconciliation of the vendors’ ledgers.
• Procurement analysis – to ensure purchases are in accordance to procurement policies and follow up on status of goods received and invoice from vendors.

Contract Management

• Contract management – to ensure compliance with procurement policies.

Others

• Continually update SOPs, check and balance actions, identify and drive accounting and finance process efficiencies and improvements.
• Assist in handling cash flow management, audit and tax matters and liaise with relevant authorities and bodies.
• Involvement and support in projects including accounting related system upgrade or customization, procurement and yearly sub-actions.
• Any ad-hoc duties as and when required.
