The job role & Responsibilities

The vacancies available are full-time permanent positions. The logistics professionals function as an interface between international and domestics service providers and broader business.

This position will be responsible for coordinating and assigning shipments/container cargo to the rightful destinations. You will ensure that shipments are assigned timely and accurately. The job role & Responsibilities

The vacancies available are full-time permanent positions. The logistics professionals function as an interface between international and domestics service providers and broader business.

This position will be responsible for coordinating and assigning shipments/container cargo to the rightful destinations. You will ensure that shipments are assigned timely and accurately. The job will involve arranging export shipments from collection through to shipment, arrange import delivery and raise billing/invoices for payment. 

In this role, you will be busy within dynamic environment so the candidate must be efficient and able to adapt to clients' requests. This is a fast paced role, applicants will need a high degree of accuracy and an ability to multi-task.

Line of duties will involve following key roles:

*Registration of the job shipment into CargoWise upon booking.

*Booking of space with shipping lines.

*Prepare and issue invoices for Shipments.

*Internal liaison with overseas offices and other departments.

*Liaise with clients to keep them informed of the shipment status.

Requirements: The person

We are looking for female candidates who will have at least a Diploma qualification. She must be computer literate, able to operate MS Word, Excel and Outlook applications.

Candidates with 2-3 years of experience gained specifically within freight forwarding industry would be highly advantageous and preferred.

EDI CargoWise experience is advantageous.

Strong communication skills, both spoken and written English plus conversant in BM and Mandarin.

Must be willing to be based at Kelana Jaya area.

About this role

He / She has to deliver Visibility, Proactivity, Reactivity, Optimization and High level of Satisfaction to PRISM's major accounts managed by a 4PL HUB

Monitor the Financial Workflow to Ensure a Full Visibility of transport cost to the Customer

• Pre-invoice based on rates grid from 4PL to 3PL
• Manage pre-invoicing issues
• Provide monthly Reporting
• Receive and archive, manually, actualized 3PL invoices
• Follow-up the automatic (EDI / API) receipt and archiving of actualized 3PL invoices
• Audit invoices versus :
• Planned cost,
• Service Level Agreement,
• Actual execution…
• Manage dispute for invoices with deviations
• Validate unexpected costs such as waiting hours…
• Log reason for additional costs

Deliver Customer Satisfaction

• Manage and supports cost visibility to ensure the best possible service level
• Meets deadlines and ensures completion of customer service tasks within the expected time frames

• Contribute to formalize the SOP
• Provide 1st level of support to the 3PL (operational inquiries, data matters etc.)
• Set up and Monitor corrective action plans in agreement with the 4PL HUB manager
• Produce dashboard and KPIs regarding billing audit performance
• Maintain communication matrix

Technical

• Sound educational background or comparable business experience (international trade, logistics, supply chain etc.)
• Good knowledge of Air and/or Sea transportation is a strong asset.
• Proven track record in a similar role, ideally in a Control Tower of 4PL environment
• Minimum of 5 years of transport management / freight forwarding experience (Air & Sea operations)
• Minimum of 3 years of customer service experience
