• Manage multi-disciplinary construction project schedules including design, engineering, construction, Commissioning and integration of contractor’s schedule
• Partner with key stakeholders including facility owners and global supply management and site construction contractors, etc to look for pull in opportunities
• Work directly with the schedulers from the various general contractors & design build teams to evaluate and monitor schedule risks using Earned Value Method (S curve) Schedule Risk Analysis (SRA) or other industry widely accepted approach
• Define and analyze Project critical paths across all schedules and project stages and be able to produce reports, KPI metrics, float trends, lookahead reports, etc.
• Facilitate interactive planning and schedule review sessions with the project team as well as key stakeholders to walk through the critical path, showcase the critical activities and work with team to mitigate schedule delays
• Identify critical milestones from overall schedule
• Validate Contractor approaches/schedule's logic, duration and activities while measuring and reporting of progress against schedule including analysis of project documents to identify potential project impacts
• Consolidate progress reports for management review including preparation of appropriate project schedule indicators.
• Establish, implement and adhere to Schedule Change Control process including review and agreement of impact of project and scope changes to ensure control is incorporated in the overall project schedule and progress measurement system.
• Accumulate and access historical data for use in maintaining realistic future planning and forecasting.

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

• Process customer’s orders/inquiries timely and accurately.
• Ensure customer’s orders are dispatched in the best route (transport plan) to optimize freight cost.

• Liaison with multiple parties including customers, overseas agents, etc for freight handling and/or other matters

• Handle shipping documentation (import/export / BL / documentation).

• Ensure compliance with customer’s Standard Operating Procedure.

• Communicate discrepancies/issues to team supervisor/manager when necessary.

• Consistently monitor emails and respond in a timely and professional manner to Customers and Appointed Service providers to provide full visibility to Customers.

• Responsible and familiarize with track & trace systems (LINK).

• Continuous update through communications on current statuses from Bollore network, international carriers, and subcontractors, troubleshooting any irregularities, and well well-prepared to construct information flows smoothly and timely to customers.

• Proactively request service failure reasons from the service providers' network and update Customers in the event of any service deviation from standard transport mapping.

• Ensure that contractual rates and agreed plans are always closely followed and aligned with Customers’ expectations.

• Work closely with OPM/RCM in preparing business review materials on a periodic basis (monthly & and quarterly).

• Lead periodic conference calls with the Customer's Control Tower or Key Contacts in reviewing the Dashboard Reports and time-critical shipments.
• Active participation in business reviews together with OPM/RCM to present our contractual performance and identify common service issues.
• With the support of peers, able to relate to the customer in transposing recurrence service issues.
• Carrying out any other ad-hoc work instruction requests made by the supervisor/manager.

The successful candidate

• Experience in transport management / freight forwarding (air operations)
• Knowledge in flow management/control tower / IFF contract operations management / key accounts
• Knowledge in freight forwarding, AOG and oversize cargo will be an advantage
• Excellent command of written and spoken English
• Must be willing to work on a 24/7 rotational shift

Lead a team of Customer Services agent (Front-Offices, Back-Offices, Billing Auditors…)

• Ensure the targets (performance, quality, cost) are reached by the team who is responsible for
• Lead the team by bringing team spirit, encouraging continuous improvement initiatives
• Coach the team by sharing his/her experience and bringing trust and self-confidence
• Organize the daily team attendance and involvement (hybrid management, back-ups…)
• Alert his/her direct Manager in case of dysfunction internal to the team
• Escalate any related topics to the upper level of hierarchy, as per the agreed escalation matrix

Supervise and Monitor the Operational Workflow to Ensure a Full Supply Chain Visibility to the Customer

• Receive and control customer bookings according to the processes in place
• Contribute to the continuous improvements and savings for the customer (optimization, consolidations…)
• ensure the data quality and assign customer booking to a selection of 3PLs
• monitor shipments on regular basis (3PL shipment confirmation, milestones completion, etc.)
• drive corrective actions when required (missing event, missing document etc.)
• monitor delays and deliveries events using the dedicated IT solutions (TMS, collaborative platform, BI…)
• alert the customer team pro-actively in case of deviation and propose alternative solutions
• communicate with internal (regional and overseas) and external organizations
• ensure that all communications generated in the related IT solution (chat, tasks etc.) are handled in a timely manner.
• create the reports and analysis to give a consolidated vision of the flows for a single customer
• track and provide corrective actions for the customer complaints

Contribute to improve Partner and Vendor performance

• monitor the 3PLs service quality and give feedback to the Hub manager
• monitor the good deployment and efficiency of new operational practices with the 3PLs
• Contribute to formalize the SOP
• provide 1st level of support to the 3PL (operational inquiries, data matters etc.)
• set up and monitor corrective action plans in agreement with the Hub manager

• Proven track record in a similar role, ideally in a 4PL environment

• Minimum of 3 years of transport management / freight forwarding experience (Air operations)

SOURCING

• Check and obtain product specifications & requirements with requestors.

• Performs RFQ & RFP (Local & Overseas) and RFI & RFX (Tenders & Contracts) .

• Conducts strategic sourcing & pre-qualify new suppliers.

• Obtain quotations for comparisons on price, MOQ, lead time, quality, shipping terms.

• Expand current pool of vendors / Search for alternative products.

• Prices/Contracts review and negotiations.

PURCHASING

• Orders Processing: Creates and sends Purchase Orders to suppliers.

• Orders Confirmation: Obtain orders acknowledgement from suppliers.

• Payments to Suppliers: Provide invoices & supporting documents to Finance team for processing.

• Orders Status: Monitors and follow up with suppliers for delivery dates.

LOGISTICS

• Shipping documents: Obtain relevant documents from suppliers (Commercial Invoice & Packing List), freight forwarders

(Airway Bill, Bill of Lading) & clearance agents (Import Permit).

• Coordinating & liaising with internal stakeholders & freight forwarders for all shipments.

• Goods receipt: Creates Incoming Shipment Notification (ISN) for warehouse to perform goods receiving.

QUALITY SUPPORT

• Defining quality objectives, policies, and procedures.

• Monitoring and controlling processes to prevent defects.

• Identify the root causes of NCRs and work with suppliers to resolve them.

• Bachelor's degree in supply chain management, Logistics, Business Administration, or related field.

• 2 years of experience in supply chain management, logistics, or procurement.

• Experience with freight forwarding and transportation management.

• Familiarity with shipping terms, import/export regulations and compliance.

• Proficiency in Microsoft Office (Excel, Word, PowerPoint)

• Familiarity with supply chain management software and online platforms / portalsLanguage:

The Operation Manager shall be responsible to assist on the matters pertaining to either Air & Sea Import or Export Operations for the branch assigned.

a) Coach and develop a team

b) Operations

• Act as mediator between customer and customs officer in case of dispute.
• To attend and solve any custom related issue. Ensure all freight forwarding operations and processes are carried out in accordance to Company’s objectives.
• Ensure that all documentation and assignments are carried out in a timely manner.
• Ensure business flow and work processes are as per ISO9001 and requirements.
• Ensure operations departments provide quality service at all times.
• Maintain high standards of customer care and ensure that the clients are professionally served.
• Ensuring strict adherence by the departmental team to company procedures.
• Produce monthly, quarterly and ad-hoc reports, as required by national / branch management, including operational and productivity KPIs.
• Actively reviewing operational procedures, identifying opportunities for improvement, and promoting continuous improvement within the team.
• Act as the first point of escalation for the sea freight/air freight export, import and customs team for commercial and operational issues.
• Management of all employee relations matters: Timekeeping, Absence, Disciplinary and Grievance etc.

• Ensure billing is done accurately and timely.

d) Transformation & improvement

• Active participation in business reviews together with Regional Contract Manager/ Management to present contractual performance and identify common service issues.
• Solve customer’s recurrence service issues
• Monitor the good deployment and efficiency of new operational practices with the 3PLs
