About This Role:
As a Management Support Executive, you will be responsible for ensuring the smooth administration and success of the Operations department.
You Will Work On:
- Assisting to ensure Accounting Superhero’s services are delivered timely, on budget and complement to client’s standards and expectations.
- Assisting clients to consistently adhere to project deadlines laid out by clients.
- Assisting the head of department in managing the departmental strategies and administrative work of the department.
Responsibilities:
- Liaise with clients and ensure that clients have a positive experience;
- Prepare engagement contracts and roll over of contracts;
- Ensure clients’ onboarding tasks are completed smoothly;
- Be a Liaison Officer between Operations department and clients;
- Keep track of clients on monthly plans and ensure renewal done before contract expiry;
- Assisting the managers to ensure all clients’ deadlines are tracked and assist in coordinating jobs within Operations department so that clients’ deadlines are met;
- Assist to prepare and catalogue the SOPs for the Operations team;
- Ensure SOPs are updated timely;
- Assist in monitoring the compliance of work are carried out to the SOPs;
- Ensure clients' communication are being attended to by Operations department;
- Report directly to Operations Supervisor on jobs status
- Assist to keep track of all open jobs as well as jobs billings;
- Prepare management reports;
- Keep track and report of department's KPIs;
- Assist in the planning and executing projects related to Operations department;
- In charge of clients’ accounting records movements;
- Liaise with all relevant departments on operational and clients’ matters;
- Support the Operations team where required;
You will also be involved in other tasks as may be assigned or allocated to you by your supervisor/reporting officer from time to time including any administrative matters.
Requirements:
- Candidate must possess at least Bachelor’s Degree in Business Administration or related field
- Required language(s): English
- At least 1-2 year(s) of working experience in the related field is required for this position
- Comfortable liaising with clients
- Understanding of office management and basic accounting procedures
- Able to work independently and as a team
- Able to meet deadlines
- Have a good interpersonal and analytical skills, and
- Have strong work ethics.
