Job Description:-

1. Acquire and manage quotation from suppliers.
2. Responsible for purchase order preparation and relevant purchasing processes in M-tech System including goods receiving.
3. Update, maintain and document purchasing records and database in the system and hardcopy.
4. Monitor and coordinate deliveries of items to ensure that all items are delivered on time.
5. Working closely with requestor to enhance product knowledge to ensure specification of the product or items requested meeting requirements as set forth by the  management.
6. Apply new supplier master code for JDE and M-tech system.
7. Chasing payment on behalf of supplier.
8. Assist HQ liaise with supplier pertaining to direct payment matters such as get the bank statement, SSM certificate, GST questionnaire form, direct payment form from supplier.
9. To order printed form such as purchase order form, letter head and requisition order form from HQ.

Responsible to support the financial planning and operations required for budgeting and periodic forecasting to aid management in achieving strategic business plans and decision making.

Responsibilities: 

Review and analyse the actual monthly Profit & Loss for Poultry Feeds which includes the followings:

1. Analyse contribution by SKUs and customers which include pricing and Cost of Goods Sold (COGS)
2. Sales volume achievement by product categories, channels and key customers
3. Logistics and Packaging cost analysis
4. Production Variable overheads include labor, electricity, Repair & Maintenance, and other analysis.
5. Plant fixed overheads and operating expenses analysis.

Review and analyse transportation cost for Poultry Integration, including Feeds, Day Old Chick (DOC), Broiler and Finished Products.

Responsible for the rolling of 12 months Profit & Loss (P&L) forecast. Identify gaps and recommend the action plans.

Responsible for the annual budget which is aligned and supported by the strategic business goals.

Continuously provide recommendations for areas of improvement in the current financial, accounting processes and reporting for better efficiency.

Perform feasibility study for new CAPEX and assigned projects accordingly.

To perform any other tasks and assignments as directed by the management from time to time.

Ensure sales, collections and approved customers’ claims (CN, rebate, contributions, etc.) have been taken into accounts timely and accurately for management to make decision.

Job Purpose

To ensure the accurate and timely management of all AP related transactions such that all accounting entries can be taken up properly in the accounts of the Company. 

To supervise and coach a team of AP subordinates to ensure the subordinates complete the task accurately and timely.

To maintain an effective communication between internal and external parties.

Job Accountabilities
 

• Monitor and ensure all approved suppliers invoices are paid within credit term so as to maintain good relationship with suppliers.
• Monitor and ensure all approved statutory payments are paid within the statutory deadline to avoid any unnecessary penalty.
• Monitor and ensure Staff Claims are paid timely and accurately so as all staff have been reimbursed on time.
• Review creditor reconciliations for all suppliers to ensure all transactions have been properly taken up and to detect error.
• Review Bank Reconciliation to ensure all transactions have been properly taken up and to detect error.
• Review and ensure all Banking Matters have been followed up promptly to ensure efficient cash flows position is maintained. e.g. fund transfer, bank draft, TT, LC, etc.
• Verify and ensure all transactions in AP have been approved and taken into accounts timely and accurately for closing purpose.

a) Update Document Checklist to ensure all documents have been submitted at least on weekly basis;                       

b) Follow up documents required with Branches, Depots, Plant, Farms, etc to ensure all documents reach HQ before closing.

• Monitoring Cash Flow by compiling daily Cash Book from both AP sections and e-mail to Treasury for repo placement.

• To conduct data analysis on historical data (using VBA, Python, and other programming languages) to determine the seasonality trends and correlations of commodity prices using Refinitiv, Trading View, etc.

Plan, source, negotiate and purchase raw materials at the most preferable timing, deal terms and best price for the organisation needs whilst being compliant to organisation’s guiding principles and government regulations.

Responsibilities:

• Actively monitor the business demand requirements to devise a plan to replenish the inventory stock, source most feasible supplier and conclude purchases with the most favourable supplier for the business.
• Constantly source, compile, negotiate and evaluate the prices, specifications and terms of the products and support provided by the suppliers to compare and ascertain the most favourable supplier is available when products and services are required.
• Monitor and analyse the commodities and products market trend as well as factors affecting the price movement (e.g. weather conditions, etc.) for decision making to especially for strategic purchases that will influence cost of raw materials. 
• Review and ensure timely update of the cost component of the products to ensure they are accurately reflected to identify cost optimisation opportunities.
• Adhere to the standard operating procedures (SOP) when issuing a purchase order (PO) when planning the purchase to ensure timely delivery of the materials procured in order to avoid any operational disruptions.
• Monitor vessel, shipment movement to ensure timely arrival of items ordered, taking into consideration environmental factors (e.g. tide at the jetty) to ensure no (or minimal) delays in the delivery of the materials at the plant.
• Communicate and cascade to the receiving team at the plant to ensure there is a comprehensive list of expected items including, item specification, quantity, quality and other parameters, to ensure items delivered are as per expectation.
• In the event of uncontrollable delays, undertake the responsibility to troubleshoot and determine feasible alternatives through collaborating with freight handlers, logistics providers, suppliers, etc. to propose to the possible solutions while mitigating risk of delays.
• Ensure that any unfulfilled delivery of procured items are reconciled with the supplier, damages are claimed through insurance and if any conditions that are unmet are claimed / compensated accordingly to our organisation. Compile the documentation required to process the necessary compensation and negotiate the most favourable outcome for the organisation.
• Coordinate with relevant parties (e.g. suppliers, transporters, shipping agents, forwarding agents, banks) for timely, efficient and effective operation processes including deliveries, customs documentations etc. 
• Process indent and local shipping documents, delivery, and unloading of goods to ensure the timely arrival of procured items at the plant for processing.
• Process indent and local shipping documents for payment and perform the required matching of invoices with purchase orders and submit to the accounts team in a timely manner to ensure the payment are processed are within trading terms agreed with the suppliers.
• Obtain the necessary import license and permit, product registrations and relevant licensing is available to ensure compliance with regulatory requirements while also timely delivery of the items procured. Understand the regulatory requirements and ensure all necessary documentation are in order to ensure seamless delivery of the items.
• Consolidate the required documents for machinery and items that are eligible for tax incentives by the government to be filed with the relevant authorities to be processed within the timeline and conditions provided.
