We are currently looking for an Accounts Executive/Clerk cum Admin who will have the responsibilities to manage day to day finance operations as well as HR and admin related tasks.

This person will be responsible for monthly closing, keying daily transactions, filing and

documentation, liaise with customers and suppliers for collections and payments, provide support to HR and Admin related matters.

Responsibilities

Accounts Payable and Receivable:

Process invoices, expense reports, and payment requests.
Verify accuracy of billing data and correct any discrepancies.
Prepare and distribute invoices to clients.
Follow up on overdue accounts and ensure timely payments.

Data Entry and Record Keeping:

Enter financial transactions into accounting software accurately and promptly.
Maintain and update financial records and documents.
Assist in the preparation of monthly financial reports.

Reconciliation:

Perform bank reconciliations and resolve any discrepancies.
Reconcile accounts payable and receivable ledgers to ensure accuracy.

General Ledger:

Assist with general ledger maintenance and journal entries.
Ensure all financial data is recorded correctly and matches supporting documentation.

Human Resource:

Assist with interview arrangements and related matters
Assist with employees monthly payroll task

Administrative Support:

Provide administrative support to the finance/HR/admin team as needed.
Handle correspondence tasks relating to finance, human resource and admin.

Qualifications

Experience & Background:

Diploma or equivalent in accounting and/or finance
1-2 years experience as an Accounts Executive/Clerk or similar role. (Fresh Graduate is encouraged to apply)
Chinese female candidate is preferred
Proficiency in MS Office, particularly Excel.
Experience with accounting software (e.g., Autocount/ MYOB/UBS) is preferred.
Strong attention to detail and accuracy.
Excellent organizational and time management skills.
Ability to handle sensitive information with confidentiality.
Strong communication and interpersonal skills.

About the role

We are seeking a skilled and experienced Admin Cum Personal Assistant to join our team at TINKER STUDIO SDN. BHD. at Taman Desa. This full-time role will provide comprehensive administrative and personal support to our executives, ensuring the smooth running of our daily operations.

What you'll be doing

Act as the personal assistant for the CEO
Manage and organize schedules, appointments, and meetings for the executive team/manager/individual.
Handle correspondence, emails, phone calls, and other forms of communication.
Draft, format, and proofread documents, reports, presentations, and other materials as needed.
Maintain filing systems, databases, and records and follow up pending response from clients.
Provide personal support, including managing personal appointments, handling personal correspondence, and coordinating personal tasks and errands.
Serve as a liaison between the executive team/manager/individual and other staff members, clients, suppliers, and stakeholders.
Assist in setting up and organizing events, meetings, and other activities.
Provide support to other departments as needed, ensuring smooth operations across the company
Assist in the planning, coordination, and execution of projects and initiatives.
Conduct research, gather data, and prepare reports or presentations for projects.
Assists Finance Team and Account Manager to prepare payment voucher, invoice, price quotation, etc.
Planning on purchase items like stationeries, pantry stocks, snack, company T-shirts and monitor the moment.
In charge person of company safety and cleanliness. Make sure all employees follow the SOP of the company
Handle any other tasks or responsibilities as assigned by the employer.

What we're looking for

Minimum 3 years of experience in an administrative or personal assistant role, preferably in a fast-paced, corporate environment
Excellent organizational, multitasking, and time management skills
Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels
Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)
Proactive, detail-oriented, and able to work independently with minimal supervision
Ability to maintain confidentiality and exercise discretion when handling sensitive information
