JOB PURPOSE:

• Oversee the day-to-day management of human resource and administration function from on-boarding to exit / termination in providing full employee support to the company

Required to- DO (Key Result Areas & Activities)

1. Human Resource

• Coordinate manpower requisitioning with departments and ensures staff recruitment follows company’s policies and procedures (e.g. candidate screening, job interviews) in order to recruit the best qualified candidates for vacant positions
• Coordinate and conducts orientation for employees to ensure that new employee are equipped with the necessary resources and information to start work
• Review and issue HR documentation such as employment letter, employee detail, probation and confirmation, leave, benefit and ensure that they are always up to date
• Perform full spectrum payroll processing to ensure accurate and timely payroll processing in accordance to statutory requirements
• Investigate and manage staff disciplinary issues through counselling and/or issuing warning, show cause and/or termination letters
• Identify and compile training needs to develop and implement training plan / schedules for all employees.
• Coordinate CIDB certified trainings for site employees to upkeep the validity of the certification
• Liaise with training provider to source for suitable employee training
• Propose revisions and amendments of HR policies to the Finance Director to ensure that policies are competitive with market practices and implements newly approved policies and procedures

2. Administration

• Oversee the ISO documentation control and ensure procedures are followed according to the requirements and facilitates the ISO audit process
• Liaise with company secretary to resolve administrative issues (i.e. company property)
• Monitoring office maintenance, stationery, renewal matter etc: CIDB certificate, quit rent, assessment and office refreshment.

3. Managing Personnel

• Guide and work with the HR and Admin executives to ensure the smooth running of all aspects of human resource functions and general administration of the company
• Establish good teamwork between HR, accounts, admin and project teams 
• Oversee the interviewing, recruitment, and training of HR, accounts and admin personnel
• Supervise and direct the day-to-day operation of the HR and admin team.

Required to - KNOW (Skills, Knowledge & Behaviours

• Bachelor's degree in human resource, or other relevant professional certification.
• At least 8 years of working experiences in human resource function
• Hands on knowledge on all aspects of human resource, payroll functions and compliance with related statutory bodies.

• Able to use SQL Payroll / Greatday Software.

Responsibilities:

Overall responsible the cash flow and accounts with the defined scope:

• Monitored spectrum of accounting activities, including full set of accounting, reporting, reconciling, journal entries and daily transaction up to date and properly.
• Supervise, assist and provide coaching for any accounting issues for Inter Companies.
• Manage in all Accounts Payable and Receivable payments and collection.
• Verified in the Debtors Credit Note (If required).
• Process Payment in term of Cash, Cheque, TT, Bank Draft, IBG and etc.
• Prepare Weekly Cash Flow and submit to Managing Director and Chief Executive Office for review and discussion.
• Reconcile Monthly Bank Reconciliation
• Finalized the yearly account and submit for audit.
• Liaise with Auditor, Tax Consultant, Bankers and Government Authority in the related to Accounts issues.
• Checking daily E-Billing for North Port and West Port.
• Monitor Vessel Owner’s account and payment.
• Calculation of Vessel Rebate of Adjustment (ROA).
• Prepare Titimas Group of Companies monthly Salary / EPF / SOCSO / Income Tax / HRDF.
• Make payment to Local Government Authority according to the dateline.
• Prepare of yearly EA Form for employees.
• Checking Suppliers Invoice before pass Journal Entry.
• Prepare and check Company E-filing for the year.
• Perform any jobs as assigned by superior and management when required for all Group of Companies.

Requirements:

• Posses at least a Bachelor's degree in Accounting, Finance, or a related field.
• Professional certifications (e.g., CPA, ACCA) can be advantageous.
• Minimum of 3-5 years in accounting or finance roles.
• Familiarity with logistics or shipping industry financial practices could be a plus.
• Proven ability to handle complete accounts for multiple companies;

• Ensure personal files (Assistant Managers and Managers) are accurately maintained and updated on a regular basis.
• Onboarding 1 (AM, M, SM).
• Analyze all received Training Requests before processing.  Follow through all L&D activities as previously planned in accordance to approved budget.
• Complete all Employee Engagement activities as planned for each calendar year in accordance to the approved budget. Advisory role for committees organizing events under Staff Welfare budget.

PURPOSE OF THE JOB

Be an enthusiastic, proactive person to initiate, support and execute designated marketing multimedia designer duties, a team player with a pleasant personality to establish good working relationships with internal and external parties, able to work independently and resourceful in delivering the marketing objectives effectively and efficiently.

RESPONSIBILITIES OF THE JOB

1. Creating and maintaining mall aesthetic according to company branding guideline and positioning.
2. To co-create and co-ordinate contents creation on photos and relevant information to the mall’s website, Facebook and social media application.
3. To support, execute and coordinate a variety of marketing, promotion and thematic events to draw shopper traffic in the specific month(s).
4. Maintain relationships with service providers or third party vendors which includes managing the installations process.
5. To be responsible for safekeeping and proper back up of all audio and visual media, artwork, etc.
6. To assist and support Marketing for on-ground activities

Commercial Support:

• Assist the Commercial Director with various tasks, including scheduling meetings, preparing presentations, and coordinating travel arrangements.
• Act as a point of contact between the Commercial Director and internal/external stakeholders, managing communication and follow-up as needed.
• Support the commercial team with administrative tasks, such as data entry, file management, and document preparation.
• Facilitate communication and collaboration within the commercial team and across departments, fostering a positive and productive work environment.
• Prepare and distribute internal communications, announcements, and reports as needed.
• Serve as a liaison between the Commercial Director and other departments, providing support and assistance as required.

Office Management:

• Oversee the smooth functioning of the office, including managing office supplies, facilities, and equipment.
• Coordinate office maintenance and repairs, liaising with vendors and service providers as necessary.
• Implement and maintain office policies and procedures to ensure efficient operations and compliance with company standards.
• Maintain accurate records and files, both electronic and physical, and ensure data integrity and confidentiality.
• Assist with organizing company events, meetings, and conferences, including scheduling, logistics, and coordination.
• Implement, and maintain EHS policies, procedures, and programs to ensure compliance with local regulations and Group standards.
• Coordinate EHS training and support to employees on EHS policies, procedures, and best practices.
• Serve as the primary point of contact for EHS-related inquiries, reporting, and compliance matters.

- Knows the business and keeps abreast of competition and customer trends, new products and legislation. Consults direct reports on operations needs and opportunities. Identifies and communicates potential new revenue opportunities to the hotel department heads influencing the development of plans to tap those opportunities.​

-Be pro-active and use initiative with regards to all Food & Beverage as well as Service related functionality areas, handling of complaints, and to ensure achievement of budgeted sales and profit targets.​

-Monitors the department's actual and projected sales to ensure revenue goals are met or exceeded and opportunities are identified and addressed.​
