工作職責：

1. 物業及設施管理

• 管理建築設施和辦公/建築設備，包括電梯、游泳池、管道、空調、機電、安全、害蟲、景觀美化、清潔以及與 RMM 相關的所有工作。
• 協助開發商移交空置土地。建立和編制業主的所有必要文件。向個別包裹的業主介紹RMM的規則和規定。
• 監督機電和土木工程或服務（包括電梯、發電機組等）的所有維護和維修，執行預防性維護工作，確定係統問題並提出維修建議，審查和評估供應商工作的品質。
• 監督開發商或 RMM 僱用的所有服務承包商/供應商，以確保按照合約完成工作。
• 與所有指定供應商就營運和管理事宜計畫、安排和協調每月或每兩個月舉行的會議。
  • 規劃、安排和協調與所有指定供應商有關營運和管理的每月或每兩個月一次的會議。
  • 處理、出席和回覆開發商、居民、地方當局和/或服務提供者提出的所有詢問和投訴
  • 制定預防性維護計畫並實施。
• 每週或必要時定期進行建築檢查，以確保所有設施和設備處於良好狀態。
• 定期進行建築審計檢查（公共區域），向開發商報告缺陷
• 監督建築照明系統，包括停車路燈和景觀美化；根據需要安裝、修理或更換
• 與地方當局聯絡檢查和許可（電梯、消防系統等）

2.財務管理

• 根據需要尋找供應商或報價。確保承包商/供應商的索賠/發票受到監控並按照約定的時間範圍付款。
• 根據需要準備批准備忘錄、採購訂單、服務合約的任命或續約
• 準備營運支出和資本支出預算。
• 監督日常維護、償債基金和其他費用的收集，包括向所有服務提供者、公用事業等支付的費用。

協助各相關人士辦理火災保險及理賠（如有）

職位要求：

• 房地產/電氣/機械學位或同等學歷和/或
• 在各種物業管理和建築設施領域擁有 7 年工作經驗。
• Microsoft Office 應用程式知識（Word、Excel、Powerpoint）

所需技能：

• 良好的管理、機電、土木知識。
• 熟悉物業管理法及其他相關法規或法律。
• 良好的人際溝通與溝通能力

• Position Title: Assistant Company Secretary.
• Remuneration: RM 16000-20000.
• Location: Mid Valley City, WP Kuala Lumpur.

About the company

Our client is an in-house corporate secretarial consulting team providing full spectrum of secretarial services to several listed companies within the group and subsidiaries. Due to expansion and restructuring in recent time to further expand the Company Secretarial and Corporate governance team, they need to build a strong company secretarial team to ensure company compliance and champion corporate governance matters. With the business undergoing rapid expansion, they are currently seeking a professional ICSA graduate to assume the role of Assistant Company Secretary based at their corporate head office at Mid Valley City in Kuala Lumpur.

Roles & Responsibilities

o Head and manage general operations and functioning of the Corporate Secretarial matters in compliance with Companies Act 2016, Main Market and ACE.

o Advice the management and the board on matters pertaining to statutory compliance and requirements as prescribed under the various statues, in particular the Companies Act 1965 and listing requirements of Bursa Malaysia Securities.

o Responsible for the company resolutions,coordinate/attend board,shareholder and board committee/managements.    

o Convene and lead in the conduct of all board and shareholders meetings and draft resolutions.

o Responsible for the preparation of announcements to Bursa Malaysia, circulars to shareholders and other requisite documentation relating to corporate exercise.

o Manage market listing requirements of Bursa Malaysia Securities Berhad, Malaysian Code on Corporate Governance and other statutory requirements.  

o Provide professional advice and support to the Board and management in relation to the provisions in the Companies Act, Listing Requirements, Corporate Governance practices and other rules and regulations. 

o Maintain statutory statutory records and submission of companies records.

o Assist with corporate transactions such as sales and purchases.

Candidate Profile

o Malaysian ICSA qualified.

o An Associate member of MAICSA or Licensed Secretary.

o A minimum of 8-10 years experience in corporate secretarial functions with experience in managing secretarial practices of Public Listed companies.

o Sound technical knowledge and well versed with statutory requirements.

o Experience in undertaking corporate exercises such as rights issue, ESOS, share buy back, etc.

o Good understanding of due-diligence and compliance measures of SC and Bursa Malaysia.

o A good knowledge of Companies Act 1965 and well versed in listing requirements will be highly regarded.

o A good command of spoken and written English and conversant in BM.

The Tech Governance, Audit & Compliance Lead will be responsible for developing, implementing, and overseeing the technology governance framework to ensure that IT operations align with industry best practices, internal policies, and regulatory requirements. This role will also oversee audit activities, risk management processes, stakeholder engagement, and the continuous improvement of technology governance strategies. The successful candidate will work closely with IT teams, internal auditors, and external stakeholders to track and resolve audit findings, mitigate risks, and ensure compliance.

Key Responsibilities:

• Develop and Implement Technology Governance Framework:
• Leads or commissions the preparation and implementation of necessary IT Governance, Audit & Compliance framework or IT policies, standards, procedures, and guidelines.
• Work closely with all other IT departments unit to prepare SOP and Procedures.
• Lead the design and operation of related compliance monitoring and improvement activities to ensure compliance both with Internal Security Policies etc. and applicable laws and regulations e.g., User Access Review, Resigned IDs, etc.
• To assure that the IT department follows all the standard guidelines to ensure compliance to best practices in the industry, all risk factors are observed & mitigated and readiness for internal or external audits.
• Conduct Audits and Assessments:
• Analyse audit findings, identify root causes, and recommend corrective and preventive actions.
• Monitor the implementation of corrective actions and track progress towards remediation.
• To work closely with IT Section Heads and auditors to support audit activities and to track and follow up on all audit findings till closure.
• Risk Management:
• Update and maintain IT risk register.
• Stay abreast of evolving regulatory requirements.
• To ensure IT Department and processes are compliant to regulatory requirements such as BNM RMIT.
• Stakeholder Management:
• Build and maintain strong relationships with IT teams and other stakeholders.
• Communicate effectively with stakeholders on audit findings and other governance/Risk related matter.
• Provide guidance and support to IT Department on audit or governance matters.
• Reporting and Communication:
• Prepare and present regular reports on the status of audit activities to management.
• Communicate effectively with internal and external auditors.
• Continuous Improvement:
• Continuously monitor and evaluate the effectiveness of the technology governance framework.
• Identify areas for improvement and implement necessary changes.
• Stay abreast of emerging technologies, threats, and best practices in IT governance, risk, and compliance.

Qualifications:

• Education:
• Bachelor’s degree in Information Technology, Computer Science, Cybersecurity, or related field.
• Experience:
• 5+ years of experience in IT governance, audit, compliance, or risk management.
• Proven experience in developing and implementing governance frameworks and policies.
• Strong background in conducting audits, identifying risks, and managing compliance assessments.
• Experience with regulatory frameworks such as BNM RMIT.
• Ability to work with cross-functional teams and build relationships with stakeholders at all levels.
• Skills:
• Strong understanding of IT security, compliance, and risk management concepts.
• Excellent problem-solving and analytical skills.
• Effective communication and reporting skills, with the ability to present complex information clearly.
• Experience with audit management and risk assessment tools is a plus.
• Proficiency in preparing detailed reports and presenting findings to senior leadership.
