About the Role
We are seeking an organized and proactive Assistant Manager, Human Resources to support our HR department in various functions while working closely with the HR Manager. IKEA Malaysia is seeking a passionate Human Resource Manager who play a pivotal role in translating Ikano Retail’s global people strategy into actionable plans that drive business success and elevate the co-worker experience, working closely with the Retail Manager to ensure that HR strategies are effectively implemented and aligned with business priorities, collaborate with Store HR Managers to drive impactful people initiatives across IKEA Malaysia stores, ensuring alignment with the overall strategy while adapting to local needs.

Your assignment

• Develop and implement a forward-looking Country People Strategy that aligns with business goals, drives organizational transformation, and ensures market leadership.
• Work closely with the global HR team to design and implement strategic initiatives across key areas, including Rewards & Benefits, Talent & Organizational Development and Co-worker Experience.
• Drive the HR agenda for IKEA Malaysia stores in close collaboration with Store HR Managers, ensuring the seamless execution of the people cycle, HR initiatives, and action plans.
• Collaborate with cross-functional teams to integrate HR strategies into broader business operations, ensuring alignment and synergy in achieving business objectives.
• Establish and maintain a compelling EVP that positions IKEA as the employer of choice in Malaysia’s retail market, ensuring our brand resonates with top talent.
• Lead the design and implementation of innovative talent strategies.
• Build and sustain a high-performance culture through a strong performance management framework and learning and development programs.
• Ensure compliance with Malaysian labor laws, Ikano Retail policies, and HR standards.
• Lead the charge on Diversity, Equity, and Inclusion (DEI), embedding these principles across all people and business operations.
• Contribute to the development of the HR team by sharing innovative HR practices and insights gained from the Malaysian market, strengthening the organization’s collective knowledge.
• Serve as a trusted advisor and strategic partner to the Retail Manager, IKEA Malaysia, and the Malaysia Management Team, providing insights and recommendations that drive business success.
• Lead change management initiatives to ensure smooth transitions during restructuring, market expansions, or operational changes.
• Utilize HR technology and data analytics to optimize decision-making, improve workforce efficiency, and measure the success of HR initiatives.

The HR Assistant provides administrative support to the Human Resources Department in various HR functions, including recruitment, employee records management and compliance with labor laws. This role requires attention to detail, excellent organizational skills, and the ability to maintain confidentiality.

Key Responsibilities:

• Assist in the recruitment and onboarding process of new staff.

• Maintain and update employee records in the HR system.

• Support HR with performance management and employee relations tasks.

• Ensure compliance with school policies and labor regulations.

• Provide general administrative support to the HR department.

Requirements:

• Diploma or higher in Human Resources, Business Administration, or related field.

• Prior experience in an HR role is an advantage.

• Strong communication and organizational skills.

• Proficient in MS Office applications.

• Able to maintain confidentiality and professionalism.

Primary Tasks 

• Data collection as well as the merging of datasets from various excel files or Google Sheets
• Ensuring the integrity of the data/information in MS Excel files by making sure there are no errors or mistakes in them

Other tasks for applicants who like more complex work:

• Conducting business research on selected topics of interests which can be related to any other field like economics, finance, marketing, social media, human resource, psychology, law and etc. depending on your major or specialization
• Analysing the data for your research and determining how the findings can affect any aspects of our operations (Ex. Marketing, Sales, Human Resource Management, etc)
• Helping us come up with design concepts or prototype designs for our website and mobile App using Adobe XD OR marketing or social media posts and banners with tools like Canva if you like to be creative
• Working with employees from other departments such as Finance, Graphics design, IT, Psychology, etc to work on specific tasks if needed
• Clearly and openly, communicating problems and solutions via Skype with the Managing Director
