Responsibilities:
· Oversee all building and Mechanical & Electrical (M&E) services, encompassing renovations, construction works, and routine building maintenance.
· Coordinate, supervise, and manage repair, maintenance, and construction activities, involving technicians, vendors, contractors, and consultants in areas such as landscaping, janitorial services, and building works.
· Obtain and review vendor quotes for procuring parts, services, and labour for repairs, maintenance, and projects.
· Conduct comprehensive facilities inspections and generate detailed reports.
· Collaborate with users, project teams, and contractors to effectively plan and implement building/M&E projects, ensuring routine maintenance schedules are adhered to.
· Ensure compliance with preventive maintenance schedules as per service contracts, and conduct routine inspections covering cleaning, security, waste disposal, washroom services, sanitary, plumbing, mechanical and electrical systems, landscaping, and pest control.
· Strategize and manage rectification works, prioritising efficiency and adherence to project timelines.
· Responsible for the smooth operation of assigned buildings, including quick and effective response to emergencies, with minimal disruption to tenants and owners.
· Ensure compliance with safety and statutory requirements, maintaining a secure working environment.
· Lead innovation initiatives by introducing new processes or technologies in collaboration with technology partners.
· Handle ad-hoc tasks as required.

Manage and control Day to Day activities
• To lead the team in managing the day-to-day operations of all company’s Facilities, Security and Safety matters in Singapore.
• To communicate with all levels, both internal and external, in getting the jobs done competitively and effectively and to meet all regulatory and statutory requirements.
• Manage and control day to day activities in terms of status and ageing through the platform (E-facility request).
• Provide the relevant advice to the facility team members to eliminate any obstacle and difficulties to get open items done
• To ensure the establishment, maintenance and continuous improvement of the Singapore site Health, Safety and Environmental (HSE) management system, including maintenance of HSE related certifications and regulatory requirements
• Ensure proper maintenance of building and facilities. Take lead to solve facility issues including liaising with stakeholders and meeting contractors.
• Monitors and works closely with relevant divisions in facilities-related procurements.
• Schedules and arranges necessary maintenance of the equipment and facilities. Builds and maintains strong vendor relationships.
• To disseminate official announcements associated with new or periodical exercises such as Fire drill to all the relevant parties.
Facilities Profit & Loss management
• To be responsible for the facilities Profit & Loss and to continuously source for better solutions and to develop an effective and costs efficient process.
• To draft facility budget planning by liaising with internal and external stakeholders.
• To liaising with the account department to determine Capex/Opex and payment schedule upon any investment planning.
• To analysis monthly Facilities Profit & Loss with internal stakeholder
Facility Project management
• Work with Procurement to drive tender/sourcing processes.
• Plan and schedule respective project tasks and progressive update inside the platform (Microsoft project).
• Delegate the respective project tasks to team members properly and effectively.
• Closely monitor the progress of the respective tasks and highlight in case of potential delay to the management.
• Liaise with relevant internal or /and external stakeholders to come out with some alternative plan to overcome or /and mitigate potential risks.
• Closeout projects by conducting testing, getting statutory approvals, substantial completion, and final reconciliations and generate close-out report for the management.
Internal Audits / external audits
• Ensuring compliance with site HSE requirements through scheduled internal audits or inspections and propose feasible solutions to the management on the findings.
• Support and facilitate external audits on HSE related subjects as and when needed (regulatory inspections, customer audits, certification audit)
• Participate in company’s internal/external audit such as ISO 13485/GDPMDS SS 620 and ISO 9001 (2015). Equip with the experience and qualifications in Safety matters and to coordinate with Workplace Safety and Health Officer (WSHO) on safety matters.
Fire Drills and Emergency Response
• Ensure CERT team is formed; members with proper appointment; and adequate training.
• Ensure fire drills are conducted minimum twice a year and records in place.
• Identify and implement areas for improvement on fire drill performance.
Licensing
• Maintain the current register of all licenses required for the Singapore site and maintain hard copy filing, keeping track closely to ensure application or renewal of these licenses before expiry.
Pre-requisite
• Diverse experience and minimum 10 years in facilities / building services / safety management.
• Degree/Diploma in Estate Management, Facility Management, Real Estate Business, Property Development & Facility Management, Engineering preferably Mechanical or Electrical related.
• Certified FSM with FSM experience is a plus.
• Competency in Microsoft Office Suite applications is a pre-requisite.
• Competency in Numerical and Analytical application tools is a pre-requisite.
• Demonstration of personal commitment and curiosity to be involved in continuously upgrading one-self through various learning channels will be an advantage.
