· To prepare, maintain, and update brochures / company profile / website / sales & marketing material and assist BD in preparing business plans / strategies to promote services.

· To prepare presentation slides, all the supporting documents for presentation and meeting purposes.

· To prepare pre-screening / pre-qualification / tender / RFQ / RFP for non-core services.

· To lead in preparing pre-screening / pre-qualification / tender / RFQ / RFP for core services whenever required.

· Collaborate with project, finance, HR/admin, or technical department in any BDD related document preparation.

· Coordinate with BD in outsourcing subcontractors for tender/pre-screening preparation.

· To prepare MoU, partnership agreement, any BD related documentations.

· To represent BDD in ISO related activities.

· Assist in the preparation, review, and negotiation of contracts with suppliers, subcontractors, and other stakeholders.

· Ensure that contract terms and conditions are favorable and in compliance with industry regulations.

· Implement robust cost control measures to track project expenditures and identify potential cost overruns.

REQUIREMENTS

· Degree in Engineering or Business Management

· Have an experienced on Business Development or tendering related matter

· Strong knowledge of cost estimating, budgeting, and contract management.

· Experienced in oil and gas industry is an advantage

About the role

With growing customer accounts and demands in Aerospace, we are assembling a team of Customer Service Executives to deliver visibility, proactivity, optimization and high level of customer satisfaction to our major Aerospace account. Based in our Subang Jaya 4PL hub, the team of Customer Service Executives will be rostered in 4 shifts to ensure 24/7 availability to meet our customers' needs.

• Process customer’s orders/inquiries timely and accurately.
• Ensure customer’s orders are dispatched in the best route (transport plan) to optimize freight cost.

• Liaison with multiple parties including customers, overseas agents, etc for freight handling and/or other matters

• Handle shipping documentation (import/export / BL / documentation).

• Ensure compliance with customer’s Standard Operating Procedure.

• Communicate discrepancies/issues to team supervisor/manager when necessary.

• Consistently monitor emails and respond in a timely and professional manner to Customers and Appointed Service providers to provide full visibility to Customers.

• Responsible and familiarize with track & trace systems (LINK).

• Continuous update through communications on current statuses from Bollore network, international carriers, and subcontractors, troubleshooting any irregularities, and well well-prepared to construct information flows smoothly and timely to customers.

• Proactively request service failure reasons from the service providers' network and update Customers in the event of any service deviation from standard transport mapping.

• Ensure that contractual rates and agreed plans are always closely followed and aligned with Customers’ expectations.

• Work closely with OPM/RCM in preparing business review materials on a periodic basis (monthly & and quarterly).

• Lead periodic conference calls with the Customer's Control Tower or Key Contacts in reviewing the Dashboard Reports and time-critical shipments.
• Active participation in business reviews together with OPM/RCM to present our contractual performance and identify common service issues.
• With the support of peers, able to relate to the customer in transposing recurrence service issues.
• Carrying out any other ad-hoc work instruction requests made by the supervisor/manager.

The successful candidate

• Experience in transport management / freight forwarding (air operations)
• Knowledge in flow management/control tower / IFF contract operations management / key accounts
• Knowledge in freight forwarding, AOG and oversize cargo will be an advantage
• Excellent command of written and spoken English
• Must be willing to work on a 24/7 rotational shift

The Operations Officer plays a critical role in ensuring the smooth and efficient delivery of international business information reports. As the front-end of the delivery process, you will be responsible for managing client orders, coordinating with data suppliers, facilitating communication between stakeholders, and ensuring timely completion of reports. This role requires excellent communication, organizational, and problem-solving skills, with a focus on meeting daily and monthly deadlines.

Responsibilities: Order Processing & Management:

• Process new client orders for international business information reports, ensuring all
• necessary details and requirements are captured.
• Manage communication with external data suppliers to obtain relevant company
• information for research.
• Monitor order progress and identify any potential delays, proactively communicating these
• to internal stakeholders.
• Maintain accurate and up-to-date order tracking systems to ensure transparency throughout the process.

Stakeholder Communication:

• Act as the primary point of contact for internal and external stakeholders regarding client
• orders and report delivery.
• Facilitate clear and timely communication between clients, research officers, and data
• suppliers.
• Manage expectations and address any client concerns regarding information access or
• deadlines.
• Communicate any delays or potential issues to internal stakeholders and propose solutions.  

Reporting & Billing:

• Prepare monthly reports on order processing volume, turnaround times, and other relevant
• metrics.
• Manage the billing process for reseller orders, ensuring accurate invoices are processed ontime.
• Maintain accurate records of all financial transactions related to reseller orders.
• Process Improvement:
• Identify opportunities to improve the efficiency and accuracy of the order processing and
• delivery process.
• Collaborate with the team to implement process improvements
