JOB SUMMARY

Assist in the formulation of Administration related policies and procedures to ensure proper and adequate implementation across the ALR Group of Companies. To carry out periodic review of policies and procedures, ensuring all are kept current and aligned with the organization needs.

Supervise, monitor and co-ordinate various administrative services covering company-wide purchasing, company vehicle maintenance, fixed asset tagging & physical count and efficient provision of office services.

JOB TASK

1. Formulate the development and implementation of Administration related policies and procedures. Ensure that approved policies and procedures are consistently implemented and administered throughout ALR Group of Companies.
2. Oversee and provide administrative support related to the general purchasing, Company’s Motor Vehicle insurance, company uniforms and other operational areas across the ALR Group of Companies.
3. Undertake the configuration, maintenance and enhancement of Electronic Purchasing System (Administrator).
4. To take charge as main Asset Coordinator for Fixed Asset Tagging, physical count and asset disposal (Office Furniture, Office Equipment and Communication Equipment).
5. Coordinate and preparation of departmental annual budgets.
6. Purchasing

• Review and recommend Requisition Forms and ensure that they are in accordance with approved budgets, policies and procedures.
• Review and process Purchase orders.
• Identify, evaluate and recommend suppliers for centralized purchased items for the Group.
• Plan and ensure timely provision of office consumable & supplies including Office beverages.
• Maintain complete and up-to-date records for all purchases made.
• Check and verify accuracy of invoices before recommending approval for payment.

 7.    Company’s Motor Vehicle Maintenance

• Responsible for fleet management and ensure proper and regular Maintenance in accordance with policies and procedures.
• Review, and recommend for Group annual master motor vehicle insurance renewal.
• Responsible for motor vehicle insurance claim.
• Check and verify expenses relating to maintenance, servicing as well as repairs of vehicles.
• Maintain records for vehicle statistics, maintenance and running costs and repairs / servicing costs.
• Process, check and verify request and expenses relating to Fuel card for company motor Vehicle

8. Security Services - Execute, monitor, co-ordinate, supervise and responsible for:

• Performance of security services which includes regular inspection, meetings, attendance record monitoring etc.
• Security agreement renewal
• Check and verify expenses relating to security services

9.    Others

• Responsible for regular maintenance of all office equipment and fittings.
• Check and verify expenses relating to general admin.

 10. Undertake other duties as directed by Head of Group, HRA.

JOB REQUIREMENT

•   Degree in related discipline
• Minimum 5 years working experience with strong leadership skills with the ability to motivate and inspire a diverse team. Exposure with various aspects of administration. Proficient in technology solution in procurement and fleet management
• Excellent verbal and written communication skills, computer literate, good presentation skills, professional knowledge. Strong financial management skills, including budget development, monitoring, and cost optimization
• Sense  of urgency, integrity, teamwork, communication & commitment.
