Key Task

2. Fixed Assets

3. Budget

• Ensure timely preparation of year end accounts for audit.
• Co-ordinate on audit schedules, debtors / creditors circulation and etc.
• Preparation of schedules and other liaisons with auditors.

• Ensure compliance to existing policy and procedures as well as Quality Standards.
• Actively review and identify process bottleneck and recommend for improvement including automation of processes
• Lead in inter-department liaisons in developing process and procedures and documentation of those policies and procedures.

This role requires multitasking across a range of responsibilities, including but not limited to acting as the point of contact for all general administrative duties and providing support for general management.

Job Summary:

• Organize and manage the General Managers’ calendar, appointments, meetings (internal and external), and conferences to ensure arrangements and activities are as planned.

• Support and facilitate the completion of regular reports and presentations.

• Prepare for meetings, write meeting minutes, drafting memos, and preparing communication and follow up with the respective stakeholders on their deliverables.

• Provide travel support including booking of air tickets, business trips expenditure claims, maintain travel records, preparing itineraries and managing meeting schedules & appointments for overseas trips.

• Organize, arrange and track personal travel arrangements (including family members): transportation, flights, visa arrangements, hotel bookings, etc.

• Co-ordinate with overseas affiliated companies on General Manager’s appointments, schedule, and overseas business trips.

• Logistics support for meetings, conference calls & events, including but not limited to tracking of participants’ attendance, booking of rooms, TV conference connection and printing of materials.

• Handle selected visiting guests’ needs when in Malaysia.

• Help and support with the coordination of events. Including but not limited to providing food service management and overall event support comprising of sourcing of external function space/ in- house catering/ restaurant booking, corporate gifts, etc.    

• Process outgoing and incoming mail, e.g.: arranging of parcels/ documents for national/international shipping (e.g.: DHL) & regular clearing of mails.

• Maintain a record of expiration dates for passports, visas, driver’s licenses, car insurance and any other documents that require renewal with a specific appointment and date. This includes tracking deadlines, setting reminders, and ensuring all necessary renewals are completed on time to avoid any disruptions or penalties.

• Perform other administrative duties and ad-hoc tasks / projects as and when assigned.

• Maintain professionalism and strict confidentiality with all materials.

The Assistant Tenant Management Manager is responsible for maintaining effective relationships between tenants and landlord. Reporting to Tenant Management Manager, the Assistant Tenant Management Manager ensures that all tenants accommodated within the terms & conditions of the Tenancy Agreement and House Rules of Toppen.

Your assignment

• Key point of contact for tenants regarding operational and day-to-day topics after opening: support, complaints, requests, communications, TA obligations.
• Tenant’s contact point between CMO and SO.
• Co-ordination with CMO and SO for trainings and programmes to tenant with aim at increasing customer service level and business performance in Centre.
• Organize tenants’ engagement event on regular intervals.
• Analyze, evaluate and propose tenants’ Monthly Gross Sales performance.

• Conduct, monitor and analyze local retail market and competition.
• Support Tenant Management Manager in preparing departmental annual budget (income and expenses).
• Responsible for expenses tracking and monitoring.
• Recommend changes towards policies and procedures for continuous improvement.
• Establish, maintain and collection comprehensive / updated Tenants’ Relation Management database and filling system for all tenants (i.e. sales information, licenses, permits insurances, agreement and other correspondences).
• Ensuring all tenants information are updated in POS system.

• Ensure all Casual Lease documentation are fully executed according to SOPs.
• Co-ordination within CMO and SO on tenants’ related topics.

Familiarise vendors and vendor details for each country and services inorder to manage and control them effectively for seamless delivery from each vendor in coordination with local level HUB resources / local Delivery resources 

Familiarise E2E vendor payment processing  for each of the services for each country inorder to pay them as per aligned schedule everytime for seamless delivery from each vendor

Understand country level & vendor level exceptioins, timelines, requirements etc in detail inorder to bring standardization in future operations

Primary Responsibilities

Marketing Management

• Develops a public relations program for the hotel based on its marketing goals. Liaises with Marketing in targeting specific markets and developing the public relations strategies to reach these markets
• Develops media contacts, plans press conferences and other press activities. Acts as hotel’s liaison with media to promote good publicity and counteract bad publicity.
• Develops and organizes promotional activities, coordinates with departments concerned; invites VIPs and media to promotional activities; prepares and issues press releases
• Establishes sales leads from the study of magazines, newspapers and form personal contacts; coordinates sales leads with Banqueting and Sales Departments
• Disseminates corporate press releases to appropriate local trade and consumer media
• Establishes a program for sending promotional news to trade publications on a regular basis releases covering special events, promotions, etc.
• Prepares promotional press releases on personalities among guests and employees of the hotel and on newsworthy events in the hotel
• Provides information to other departments on activities within and outside the hotel which may be useful when dealing with guests
• Accepts clients and media complaints, requests, and inquiries and coordinates handling with departments concerned
• Coordinates all activities with the Sales Manager
• Maintains good public relations by extending personalized service to VIPs. e.g. following up on reservations for VIPs, assisting in greeting VIPs and groups upon their arrival, sending welcome letter to VIP guests
• Coordinates guest lists and invitations for VIP receptions, luncheons, dinners, etc.
• Maintains clipping files pertaining to the hotel(s) based on daily perusal of the media and provides same to General Manager, other departments, other hotels, corporate public relations, as appropriate

• Maintains hotel photo file
• Liaises with Human Resource Manager on matters affecting corporate image
• Develop hotel gifts and giveaways
• Builds profile within local market place through attendance at various events and local market place

• To supervise the maintenance of a mailing list consisting of a record of former and existing clients of the hotel.

• To present a summary of visits to the General Manager and Director of Sales & marketing on a regular basis.
• To attend all official functions as a representative of the hotel.
• To greet all VIP guests of the hotel.
• To ensure that stationary and printed items are standardized and conforms to the MERCURE standards.
• To closely coordinate social events in the hotel.
• To closely observe matters pertaining to PR activities of the hotel and other hotels (competitors) on a regular basis.
