• Proactively monitor and update shipments' movements from origin to destination.

• Troubleshoot any possible delays or actual delays.

• Ensure engagement and clarity in communication with the internal operations team and any other related department to ensure the movement and commitment to the platform.

• Develop a deep understanding of the order performance-related matter in the current operation.

• Escalate to Network Control Centre Team Lead if any issue arises beyond their control.

• Build a community culture with high standards and strong values.

• Ensure our service professionalism and availability.

• Any other tasks as assigned by the superior.

• Able to work on a shift basis.

• Able to communicate and write in English and Mandarin.

As a Customer Success Coordinator, you will be responsible for managing and coordinating cargo bookings, ensuring efficient and effective handling of shipment requests, and providing exceptional customer service to clients. This role also involves liaising with various customers, departments, handling documentation, and ensuring compliance with industry regulations.

Key Notes: This role will be based in Malaysia, working in Wisma Tune, Teleport’s Office to support Singapore. Public holidays will be based on Singapore public holidays. You will be receiving off-in-lieu/shift allowance for days you are working on Public holidays. Irregular working hours with potential for overtime during peak periods or urgent shipments.

• Booking Management: Handle incoming booking requests from clients via phone, email, and online platforms
• Booking Management: Confirm bookings, schedule shipments, and ensure accurate data entry into the booking system
• Booking Management: Coordinate with the operations team to ensure availability of cargo space and timely transportation
• Customer Service: Provide courteous service to clients, addressing inquiries, and guidance on shipment options
• Customer Service: Maintain strong relationships with clients, understanding their needs and ensuring their satisfaction
• Coordination: Liaise with departments, such as operations, finance, and customer service, to ensure seamless handling
• Coordination: Review and follow up on invoicing, payment and billing queries

Governance Oversight

• Assist to implement and maintain effective governance structures, policies, and processes to ensure organisational compliance with laws and regulations.
• Assist to provide advice and support to senior leadership and departments on governance issues.
• Assist in preparing board papers for governance and compliance, including review documentation of minutes and ensuring timely reporting on governance matters.
• Assist to deal with regulators, law enforcement agencies, external stakeholders, consultants, etc for governance matters. 
• Assist to promote culture of governance and integrity in preparation for IPO listing requirements.

Compliance Management

• Assist to develop, review, and enforce compliance policies and procedures in line with legal requirements, industry standards, and best practices.
• Assist to monitor and report on the company’s adherence to applicable laws, regulations, and internal controls, including compliance and non-compliance matters.

Financial Reporting

• Prepare and analyse financial statements, including balance sheets, income statements, and cash flow statements.
• Assist in managing financial transactions, including accounts payable, general ledger entries, and cashflow management.
• Analyse financial data to generate insights and support decision-making.
• Ensure compliance with accounting standards, regulations, and internal controls.
• Collaborate with internal teams and external auditors to support accurate financial reporting.
• Provide ad-hoc financial analysis and reporting when required.

Accounts Receivable (AR)

• Collaborate with sales and customer service teams to optimize collections, ensuring timely payments from clients through follow-ups and issuing reminders/statements.
• Address collection issues, reconcile customer accounts, and resolve discrepancies.
• Ensure the timely and accurate issuance of invoices and credit notes to customers, including uploading to customer portals.

• Verify weights and dimensions of cargo, keeping records of your findings.
• Deal with CTO and Air Operation on any special arrangements for transporting delicate cargoes, such as livestock, food and medical supplies
• Monitor outbound/inbound traffic activities for the load quality and accuracy.
• Interact, liaise and manage the relationship with other CTO, Line Haul Truck, and Vendors to achieve the efficiency in cargo retrieval and submission process.

• Perform the planning function in coordination with the CTO operator, to ensure the build-up process will transport all (or more) of the cargo booked on each flight;
• Find clever ways to route cargo through our network and partners’ network (interline arrangements) to the intended destination that includes but not limited to a network algorithm plan to clearly identify available capacity, routing and delivery time
• Work closely with airline’s network team for cost, flight induction (additional capacity, new routes and etc);
• Ensure data accuracy of flights and cargo that is transported with us.

As a start-up, you can expect your days to be pretty varied. Multitasking is normal, and sometimes, your skills or natural talents will be leveraged to support other business priorities. That said, the bulk of your working hours should involve:

• Preparation of monthly Group consolidated financial statements
• Responsible and prompt action in submitting Group Consolidated financial reporting, statutory reporting, audit. Strict adherence to financial reporting standards, and relevant regulatory guidelines
• Implementation of consolidation module and enhances existing consolidation and reporting related processes
• Develop, implement, and maintain accounting and finance policies and procedures for a wide-ranging set of accounting and financial activities including reporting and other corporate policies
• Identify and proactively drive continuous improvement for finance operations of the group
• Keep abreast of listing rules and regulations and other statutory requirements
• Perform periodic review of key business processes to ensure proper controls and procedures are in place, and to seek opportunities for continuous improvements of the country finance
• Liaise with external auditors, tax consultants, statutory bodies, bankers, company secretary, and lawyers for audit/tax/banking/legal matters
• All other ad hoc work assigned as required from time to time

SKILLS & REQUIREMENTS

• Degree in Accounting and Finance and International qualified accountant such as MIA, ACCA, CPA etc
• A Qualified Accountant with proven successful track record from Big 4 highly preferred
• Well verse with MFRS/IFRS and statutory financial statements requirements
• Self-motivated and analytical mindset with stakeholder management skills will be preferred
• Ability to work under pressure & work in a tight timeline given
• Ability to work as a team with a collaborative management style.
• An organized and meticulous person with good eye for details
• Proficient in Microsoft Excel and Oracle

• With guidance, streamline inputs and improve efficiency of reporting and forecasting processes
• With guidance, analyze key commercial P&L drivers for improvement opportunities
• With guidance, assist with network planning analyses

These are minimum-requirement skills and a ‘must-have’ for the role:

• Proficiency in Excel and/or Gsheet
• Degree in finance or mathematics

• Assist in PDPA review.

• Assist to maintain compliance repository.

• Assist to conduct gap analysis review and reports.

• Assist to review listing requirements.

Educational Background:

• Currently pursuing a Law / Accounting degree or a recent graduate in Law / Accounting.

• Interest in corporate governance and compliance.

• Perform and assist in legal research as may be assigned by any of the Legal Counsels.
• Perform and assist in document reviews, data extraction, data entry and migration.
• Assist in all steps required for the completion and signing of all legal agreements, contracts, legal forms, statutory declarations, affidavits, board resolutions and/or any legal or company secretarial documentation. 
• Assist the filing, scanning, organisation, copying, saving and/or archiving of all such signed legal or company secretarial documentation.
• Assist to maintain and update the legal contract masterlist and corporate tracking list for all Teleport entities.
• Assist to manage the Contract Management System or any other systems implemented or used by the department on behalf of the legal department, to ensure all legal documentation is easily accessible and retrievable at any time.
• Assist in ensuring that all agreement templates, deal checklists and general terms and conditions are updated with the latest version for all Teleport entities, as required by the respective legal counsel.
• Assist the Manager or General Counsel with extracting documents and data or preparation of documents or reports pursuant to audit exercises, reporting or quarterly compliance testing requirements.
• Assist with stamping of agreements either online in LHDN website or hardcopy, as required.
• Prepare basic internal/external correspondences, letters, memo or legal online newsletters.
• Communicate with internal and external parties on behalf of the legal team,
• Other administrative, clerical and organisation support as may be assigned from time-to-time by the legal department including assisting with arranging meetings, securing meeting rooms, and procuring stationery or tools.

These are minimum-requirement skills and a ‘must-have’ for the role:

• Bachelor of Laws (LLB) degree holder or student, or any other relevant certifications or qualifications. Experience working in a legal department or law firm is an advantage.
• Solid written and verbal communication skills. Confidence in writing and speaking in English is an advantage.
• Able to work independently and as part of a team. Ability to identify issues and propose solutions.
• Analytical thinker, resourceful, proficient with research tools.
• Fantastic organizational skills and detail-oriented.
• Ability to work under pressure and meet deadlines.
• Skilled usage and knowledge of Microsoft Office Applications.

Nice to Have:

• Proficiency in Google Doc and Google Sheet.
• Ability to grasp and interpret basic legal documents.
• Ability to do basic legal research.
