NES is currently recruiting a Technical & Administrative Assistant to join our client, a multinational energy company, on a 24 month contract position.
Working within the real estate portfolio division, the role will be responsible for:
Administrative Support
· Provide administrative support to International Portfolio Operations Manager and Corporate Real Estate International team members in areas of reports, presentations, communications, events, hotels arrangements, travel arrangements, and related payments and reimbursements.
· Manage procurement of Company-issued office equipment and supplies to Corporate Real Estate team members, with payments through Company Purchasing/Travel Cards.
· Vendor management of suppliers and service providers to ensure quality and consistency of services and supplies.
· Manage Corporate Real Estate database, sites, shared folders, and applications. Work with team members to ensure information are updated.
· Maintain and update Corporate Real Estate data, e.g. organization chart, email group distribution list, emergency and duty roaster contacts, etc..
· Assist in any ad-hoc work requests and special projects assigned by Manager and Corporate Real Estate team members.
Technical Support – General
· Coordinate and/or facilitate key meetings within Corporate Real Estate, covering but not limited to international operations meetings, international HSE meetings, supplier quality meetings, partnership workshops, contractor forums and project meetings.
· Perform the role of a Scribe in meetings, develop post meeting action items, and follow-up to closure. Review action items in following meetings.
· Establish good understanding of Corporate Real Estate performance metrics and scorecards. Coordinate with internal Corporate Real Estate team members and external Business Partners on updating and validating performance metrics for monthly reviews.
Technical Support – OE/HSE
· Maintain and update OE/HSE data, e.g. organization chart, email group distribution list, emergency and duty roaster contacts, shared folders, etc.
· Maintain and upkeep OE systems of records in Central Depository/Libraries, OEHSE dashboards and tracking tools.
· Support HSE Team Lead on OE Process deployment and HSE planning.
· Supports Tenets of operation and Stop Work Authority to ensure a safe work environment.
· Advocate of OE processes, e.g. Repetitive Stress Injury Prevention and Stop Work Authority.
Technical Support – Projects
· Assist Project Manager to oversee, coordinate, and monitor Consultants and Contactors through the project lifecycle from planning, design, documentation, and construction.
· Assist Project Manager in documenting outcomes/results for reviews and assessments to ensure follow-ups to closure. This covers end-to-end project management from planning, execution to handover, ensuring cost and schedule are met while identifying potential risks.
· To work closely with all key members within the Corporate Real Estate department on delivering expected outcomes.
Requirements:
· Diploma/Degree, Business or Technical are preferred with proven analytical skills and experience.
· Minimum 5 years’ relevant experience in a medium to large firms with regional or global reach. Experience within property development and management industry is preferred.
· Proven track record in handling multiple tasks, managing internal and external stakeholders/teams, driving required deliverables.
· Strong verbal and written skills, with experience and/or interest in learning database, metrics, and applications. Analytical experience is also highly preferred.
· Good team player with ability to work independently with ability to establish strong relationships with internal and external stakeholders across Asia Pacific, Europe and Middle East.
· Some level of travels may be required.
