IN BRIEF

The staff’s primary responsibility is to develop and implement a strategic and effective framework for providing access to the information of the Gallery’s collection of artwork to both internal and external parties, thereby, generating a greater awareness and understanding of the collection. The candidate will work closely with colleagues from the Curatorial & Collections, Curatorial, Research & Exhibitions, Content Publishing, IT and other departments, as well as with artists, artist estates, vendors and statutory board stakeholders governing the Collection.

KEY RESPONSIBILITIES

• Oversee development, enhancement and maintenance of collection database across multiple systems, including data entry, cleansing and actively publishing the data on Gallery’s Online Collections Search Portal (https://collections.nationalgallery.sg/#/) and other platforms with the team. The staff should regularly conduct research into the latest museological practice in collection data and copyright management, executing the best practice for the Gallery.
• Responsible for designing an effective SOP, policies and manuals related to storing and sharing of collection-related information across different platforms and parties within and beyond the Gallery. The key challenge is ensuring information that is critical in understanding of artwork is duly recorded and shared to the public.
• Responsible for generating and managing accurate statistics of the collection as well as reports tracking its usage to effectively measure the level of utilisation and public recognition of the collection.
• Responsible for strategic planning and implementation of copyright clearance for the collection and other related materials, the latter of which may include loans for exhibition projects. Handle complex negotiations with stakeholders in a sensible manner informed by understanding of regional context, while adhering to policies, international museum practice and guidelines.
• Facilitate complex internal and external requests for use of artwork images in the collection.
• Identify gaps and opportunities for increasing digital accessibility of the collection meaningfully. Develop new projects or enhancements to existing systems, work with internal stakeholders and vendors to execute in an effective manner.
• Instruct other staff members, interns and external researchers on procedures and aspects relating to copyright and image-use.
• Conduct research on topics relating to collections, copyright and digital platforms in a museological context.
• Handle ad-hoc assignments as and when required.

QUALIFICATION

• Bachelor’s degree in Arts Management, Museum Studies, Information Management or equivalent experience with a strong interest in the arts.
• 7-10 years’ experience working in a related area in the arts industry.

Contract Procurement and Management

• Planning of repair and preventive maintenance programme/works for M&E systems
• Conduct due diligence study of prevailing market conditions and regulatory requirements fordrafting of maintenance contract requirements.
• Prepare cost estimates for the contracts and work with internal stakeholders to ensurebudget sufficiency
• Start-To-End management of entire quotation/Request for Proposal/Tender process,including but not limited to raising of requisition paperwork, raising of Purchase Order(s),evaluation and recommendation of proposals
