CLASS DESCRIPTION
The Baltimore City Health Department is seeking a highly qualified Facilities Associate to join its Facilities team. The Facilities Associate will assist with managing various aspects of facilities, including but not limited to procurement, work order management, and environmental compliance.
Founded in 1793, BCHD is the oldest health department in the country, with over 800 employees and an annual budget of $130 million that aims to promote health and improve well-being through education, policy/advocacy, and direct service delivery. BCHD's wide-ranging responsibilities include maternal and child health, youth wellness, school health, senior services, animal control, restaurant inspections, emergency preparedness, STI/HIV treatment, and acute and chronic disease prevention.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Disseminate work orders to appropriate personnel.
Provide a monthly work order evaluation report consisting of work orders issued, work orders completed, and work order hours and work order cost.
Respond to internal and external inquires concerning Facilities.
Provide general assistance with addressing daily office operations.
Research and resolve invoice discrepancies.
Assists in identifying problem with facilities in terms of functioning and appearance.
Process work request utilizing the automated work request system Workday in collaboration with the Health Facilities Coordinator to communicate with contracted vendors, Facilities staff regarding facilities issues.
Generate a weekly outstanding work order report.
Prepare and process requisitions for materials/services using the automated purchasing system Workday.
Conduct physical inventories Health property in accordance with established city policies and procedures.
REQUIRED KNOWLEDGE, SKILLS, AND RESPONSIBILITIES
A qualified candidate will have:
Working knowledge of facilities management principles and practices.
Working knowledge of Workday.
Ability to work independently and part of a team.
Ability to handle sensitive and confidential matters with discretion and tact.
Excellent computer skills and experience tracking and analyzing data using information systems reporting tools such as Excel. Efficient with all Microsoft Office products.
Working knowledge of facilities management principles and practices.
EDUCATION, LICENSURE AND EXPERIENCE REQUIREMENTS
Have a bachelor's degree from an accredited college or university.
Have one year of experience in facilities administrative work or an equivalent combination of education and experience.
Have a valid Maryland Class C Non-Commercial driver’s license or equivalent out-of-state driver's license.
NOTE: Those eligible candidates who are under final consideration for appointment to positions in this class will be required to authorize the release of criminal conviction information.
