We are looking for a stellar Junior Personal Assistant to support our chef owner and head of group operations. You will provide administrative support to the leadership by effectively and efficiently handling and managing administrative matters of and for the leadership, allowing them to focus on their main responsibility of driving the business. What you’ll do

• Reports directly to and communicates with the Head of Group on all administrative matters.
• Plan, schedule and meetings, including travel arrangement (flight, accommodation, Visa etc.), reservations and set up for owner/leadership team.
• Support schedule, coordinate appointments for the owner/leadership team and assist in all meeting preparation which includes setting up conference calls across different time-zones.
• Preparation of expense reports, forms and communications for office financial reports and invoicing.
• Works closely and effectively with the key senior leadership and support on ad-hoc tasks.
• Any other ad-hoc tasks assigned from time to time.

Job Description:

• In charge of all HR matter.
• Troubleshoot on daily inventory issue.
• Summarise end month inventory balance and report.
• Communicate with production staffs.
• Consolidate weekly production raw materials to Purchasing Department for ordering.
• Issue daily purchase order to order processed vegetables from supplier.
• Scan daily received invoices to Google Drive.
• Summarise weekly and monthly kitchen check list for ISO filing.
• Update on all ISO documents.
• Liaise with HQ for items that require driver to deliver to outlets.
• Check and key received invoices from supplier into system.
• Issue daily DO from all outlets.
• Ad hoc duties assigned by Production Manager.

Requirements:

• Proficient in Microsoft Excel.
• Independent, well-organised, meticulous, able to multi-task and work on multiple projects concurrently with good time management skills.

Core Responsibilities & Opportunities:

• Handle billing and basic accounting duties, including prepare Sales Order, Purchase Order, Delivery Order and Invoices
• Maintain and update Vendor List and Profiles
• Coordinate with Operation, Warehouse and Finance team on ordering system
• Maintain a good filing system, either physical or digital.
• Assist in application for licenses
• Ad hoc accounts and admin duties assigned

Job Requirement(s):

• Min. Diploma in accounting, finance, business administration, or a related field
• Previous experience in accounting or administrative roles, even in entry-level positions, can be advantageous
• Accuracy and attention to detail are essential for tasks such as data entry, reconciling accounts, and preparing financial documents.
• Proficiency in basic accounting principles such as bookkeeping, accounts payable/receivable.
• Possess administrative skills, including the ability to multitask, prioritise tasks, and manage time effectively
• Bilingual in both English and Mandarin language is required (in order to generate and read reports and liaise with all English and Mandarin speaking suppliers and internal customers.

• Answer incoming calls and perform other receptionist duties when needed
• Apply, maintain and update outlets’ relevant licences, (SFA, Electrical license, Music License, Liquor Licence etc.)
• Render administrative support to CEO and Business Planning Managers
• Assist Business Planning Managers for the setting up of new outlets and closure of outlets
• Maintain proper filing and disposal of confidential document
• Order office supplies, Stationary and research new deals and suppliers
• Run company’s errands to post office, SFA, SP services and office supply store
• Coordinates and organizes department meetings and conferences including meeting venue bookings, catering requirements, sets up the room and any other requirements of department meetings;
• Performs clerical functions such as preparing correspondence, receiving visitors, arranging courier services etc.
• Any other ad-hoc duties assigned.
