•Provide administrative and secretarial support for day to day tasks like schedule management, booking meeting venues, handling meeting logistics, and managing requests from staff and external companies as well as agencies for meeting slots
•Manage travel arrangements for the Director, handle expense claims, procure office supplies as well as track processing of invoices and payments
•Organise divisional functions, off site and teambuilding events as needed
•Prepare meeting materials and event admin briefs where necessary
•Perform budget tracking for certain line items and purchase related processes
•Participate in any other ad hoc projects (such as assisting with events management) and committees as assigned from time to time
Required Work Experience:
•Minimum of five to seven years’ secretarial experience at the executive level preferred
•Proficient in Microsoft Office Word, Excel, Outlook and PowerPoint
•An independent, self-motivated, organised and resourceful individual who has strong time management skills and can work well with minimal supervision
•Able to pick up new tech systems/tools required for work
•Good negotiation, interpersonal and communication skills
•Exercise sound and reasonable judgment in sorting out priorities and deadlines
•Attention to detail and meticulousness
•Possesses professionalism, tact and discretion in handling confidential matters
•Min Diploma in any relevant discipline
