RESPONSIBILITIES;

Every Intern shall be held accountable and responsible for;

• The on-going incorporation of quality, health, safety and environmental principles into work practices and the on-going commitment of resources to quality, health, safety and environment to be communicated between all levels of the organization and others

JOB DESCRIPTION;

• Shipping and receiving of documents for the corporate office.
• Receiving/greeting of guests and making guest beverages
• Answering incoming phone lines and facilitating outgoing calls and teleconferences.
• Responsible for incoming and outgoing mail/fax distributions, postal and courier services/DHL.
• Prepare the PAF forms for DHL/courier services and other related delivery services.
• Updating of phone listing and circulate
• Distributing of grocery supplies at the designated pantry area
• Responsible for on-boarder and off-boarder admin set-up; Coordinating the transport arrangement. Preparing workstation, IT equipment, stationaries, set-up biometric meals. Issuance and collection of access cards
• Filling & Achieving office documents.
• Maintenance of Achieving documents
• Support office activities as requested (teambuilding, meetings and etc.)
• Assist and cover Admin Department duties during individual absences.
• General Administrative duties as assigned by the Admin Manager from time to time.

JOB REQUIREMENT

• Pursuing ITE / Diploma or Degree from Singapore Institute of Higher Learning
• Courses from Business, HR & Admin, Accounting and etc.
• Detail oriented / organize / interactive / positive behavior
• Excellence in MS Office

• Support in purchasing request for department (contact vendor, getting quotation, raise purchase order and follow-up, receive goods and delivery, process payment request or expense claim request)
• Manage and record department assets and accessories
• Manage and update employee list, (internal and external) and department organizational chart
• Prepare for new joiner (internal and external): pickup new joiner, PC arrangement, create user ID
• Coordinate with other department for associate benefit/ gifts
• Support in organizing department meeting, workshop and other events
• Support exit checklist for associates (internal and external): exit checklist, record returned accessories
• Support for accessories request/ exchange/ return for associates in department
• Support in managing facilities and raising ticket for fixing or improvement
• Support in receiving/ sending courier
• Support in welcoming guest, invitation letter, investment certificate copies
• Be willing to give support for Head of Department and department secretary for some arising issues

• Handle day to day administrative task/activities
• Perform general administrative duties such as data entry, organisation of files, documents etc. and other coordination duties

• Attend to queries via calls and handling courier services and mails
