This position is responsible for scheduling across the campus for physicians, medical facilities, and specialized medical practices by coordinating all aspects of scheduling including, but not limited to, appointments for physicians across the campus, surgical procedures, diagnostic tests, pain management, and other specialized tests and treatment as directed by physicians to ensure an exceptional customer experience at each point of service. Using a broad understanding of customer engagement strategies, clinical procedures, and company facilities, this position provides accurate and timely information to create an integrated, multidisciplinary schedule and an experience that is easy, empathetic, and differentiated in the oncology marketplace.
CORE FUNCTIONS
1. Schedules medical appointments through coordination of patients, providers, facility resources, ancillary staff, records, referrals, authorizations, and payers. Receives and initiates calls to/from patients, providers, provider offices and facilities, while following all established scheduling procedures and protocols to ensure patients receive the care they need, when and where they need it.
2. Receives physician’s orders and effectively schedules and reschedules appointments, tests, and/or procedures leveraging various electronic medical record/scheduling software systems according to protocols established by clinical staff and scheduling standards. Identifies alternative scheduled solutions in the event the patient’s preference is not available, while adhering to procedures and protocols and ensuring patient safety.
3. Provides patients with information, pre and post-test instruction, provides location of appointment and directions. The position answers questions as necessary within guidelines and protocols. Refers questions to clinical staff as appropriate.
4. Effectively communicates and builds impactful relationships through written, digital, and verbal channels with patients, facilities, providers, and clinical colleagues to ensure an easy, empathetic, solution-oriented patient experience, included but not limited to, phone, chat, email, electronic medical record messaging, and other digital channels. Anticipates patient and provider needs and responds accordingly.
MINIMUM QUALIFICATIONS
High school diploma/GED or equivalent working knowledge.
The position requires skills normally gained with two years of scheduling experience in a physician’s office or hospital. Medical terminology may be required for some assignments. Must possess excellent communication, organizational and problem-solving skills.
Must be proficient with commonly used office software and have the ability to use software typically used for medical practice management and scheduling.
Employees working at Banner MD Anderson on the Banner University Medical Center Phoenix campus must possess a State of Arizona Department of Public Safety Level One Fingerprint Clearance Card at the time of hire and maintain the card for the duration of their employment. POSITION SUMMARY

7. Collaborate with the Program Director, APD, and/or Program Chief(s) to design and implement yearly rotation and vacation schedules for house staff. Work performed is reportable to the Graduate Medical Education Leaderships. Serves on at least one GME subcommittee annually.
8. Maintains accurate records on all current and former house staff necessary to verify successful completion of residency program using the Residency Management Software Prepares all cyclical reports for residents, staff and attending physicians. Maintains discretion relative to confidential and sensitive residency/fellowship issues.
9. Internal contacts include physicians, administration, and employees. External customers include various medical education accreditation agencies and federal, state and local regulatory agencies for medical education.
MINIMUM QUALIFICATIONS
Must possess knowledge of medical education coordination as normally obtained through the completion of a bachelor’s degree in business, human relations or related field.
Must have C-TAGME or acquire the certification within one year. Must possess or obtain active Notary Public commission within 90 days of hire.
Must possess an understanding of graduate medical education as normally demonstrated with five years of experience in graduate medical education. CORE FUNCTIONS
1. Performs a variety of tasks and functions associated with the department’s daily operations, including but not limited to, greeting patients, medical staff and the public, answering incoming telephone calls, scheduling appointments, entering orders and providing general information to customers. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution. 2. Enters patient information into the computer, scans documents into PACS. Maintains a complete patient record with admission, transfer, and discharge information, progress notes, and consent forms. Ensures that all reports and chart forms are scanned or filed into the patient’s record. Ensures that charting forms are labeled and accessible if they are needed. Maintains adequate supplies of frequently used, patient education materials. May be responsible for QC/validations. Assists in facilitating requests for patient medical records.
3. Provides support in the acquisition and distribution of digital patient records. Digitizes, formats, and uploads film-based or digital images into PACS. Maintains accurate filling system as required based on established department protocols and procedures.
4. Fulfills requests for images and reports ensuring availability in system, hard copy (film), and/or CD as required and follows proper protocols for releasing confidential patient information.
5. Receives patient in applicable systems, confirms patient demographics and insurance information and performs insurance verification when required. May be required to calculate and collect copays, deductibles, and self-pay. Totals charges on patient’s super-bill at check-out. Enters pending discharges into the system. Coordinates patient appointments for procedures and treatments that may be required prior to timely discharge. Processes patient discharges. Coordinates transportation to care centers and residential homes as requested by patients or physicians.
6. Prints physician schedules, super-bills, labels and other applicable forms in preparation for next business day. Pulls and files patient charts and prepares new patient charts as needed. Prints and files transcription notes. Reconciles charge tickets to each day's schedule, identifies incomplete tickets, missing charge codes or missing diagnosis and notifies clinical staff. Forwards completed tickets and/or billing package to the business office or billing company.
7. Assists technologists and nurses in pre and post procedure room preparation by obtaining necessary supplies and assisting patients as necessary. Ensures procedure rooms are stocked appropriately. Understand sterile procedure and assists with setting up sterile trays, where applicable. Adheres to radiation safety policies. Escorts patients back to the patient exam rooms, takes vitals and patient history; may assist with patient treatment to include peripheral IV insertion, IV discontinuation and Point of Care Testing (POCT) if required by the assigned facility (completion of Banner’s peripheral IV insertion course and validation of skill must be completed prior to any peripheral IV insertion and discontinuation performed. Completion of Banner’s POCT education and validation of skill must be completed prior to any Point of Care Testing being performed).
8. Maintains adequate levels of office, dietary, and medical supplies and completes requisition forms when supplies need to be ordered. Reconciles supply order upon delivery.
9. This position assists in the operations of the medical imaging department under direct supervision with technologists and nurses in department. Incumbents work in a fast-paced, sometimes stressful environment with a strong focus on customer service. Must navigate a variety of separate computer programs at any given time and handle multiple demands on time. Internal customers: All levels of medical imaging and nursing management and staff, medical staff, and all other members of the interdisciplinary health care team. External Customers: regulatory and health agencies, non-clinic providers and facilities, vendors, patients and family members.

As the Administrative Assistant you will provide administrative support for a busy Department of Medicine team. Responsibilities will include managing Provider schedules, coordinating meetings, meeting minutes, maintaining calendars, making travel plans, data entry & reporting, procurement and purchasing for department, reimbursements, coordination of communications and correspondence, special projects and other administrative duties needed to support a busy medical department.
Schedule is Monday to Friday 8:00am-4:30pm with flexibility on start times based on business need (may need to come in earlier or stay later if needed and the possibility of a Saturday may be needed on rare occasion as well).
Our ideal candidate has a minimum of 5 years of administrative support experience working with multiple leaders and is a collaborative team player. Proficient and accurate typing and PC skills with advanced MS Office skills in PowerPoint and Excel Outlook and Word. Critical thinking skills and ability to be self-directed, prioritize and multitask in a very busy office is a must. Excellent written, verbal and interpersonal communication skills required to effectively interact with all levels of the organization. Proven ability to exercise a high level of confidentiality, discretion, diplomacy and judgement with sensitive and confidential information.
Experience in a Hospital or Healthcare environment preferred. Experience with QGenda, a healthcare workforce management and scheduling software, a plus!
POSITION SUMMARY

7. May provide clerical and administrative support to department staff, maintaining a high degree of confidentiality on all sensitive information this position is privy to.
8. May maintain supply inventories by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies and verifying receipt of supplies.
9. This position primarily focuses on supporting one supervisor. This position has frequent interaction with, but is not limited to, employees, physicians, patients, visitors, community agencies, vendors, etc.
MINIMUM QUALIFICATIONS
High school diploma/GED or equivalent working knowledge. Working knowledge of clerical and administrative services as normally demonstrated through three years administrative support experience.
