Exciting opportunity to work in the Enhanced Recovery Services Care Hub (formerly Rehabilitation & High Support) part of the Specialist Network.

The post-holder will provide comprehensive personal assistant support to the Associate Director of Operations. They should be flexible and use own initiative to plan their workload, dependent upon the priorities and requirements at the time.

The Post-Holder will require excellent organisation skills be efficient, and able to use initiative, have a consistently high professional approach and high measure of independent judgement, including sensitivity, discretion and confidentiality.

The Post-Holder will be required to be flexible and willing to increase own professional skills and development.

The role is challenging and fast-paced with competing priorities requiring excellent administration and communication skills both verbal and written when dealing with all levels of staff, managers, and service users within and outside of the Trust.

The service provides inpatient care for males and females aged 18+ to 65 years of age in step-down, recovery and PICU inpatient units across the footprint of Oldham, Rochdale, Tameside and Stockport. Some units are based on hospital sites and some are standalone units.

Management and Communication
• Manage the AD's workload ensuring all urgent/sensitive issues are dealt with timely.
• Handle queries/information requests.
• Act as main point of contact for internal/external contacts.
• Handle/Communicate complex/sensitive information internally/externally.
• Liaise with AD re priorities, adjusting diary and workload accordingly.
• Ensure documents/actions for meetings are prepared on time.

• Maintain efficient/accessible systems to track responses/queries.

Communication Management
• Deal with all communications timely.
• Monitor emails daily; flagging tasks to AD, and archiving.

• Bring urgent matters to the attention of AD.

Diary Management
• Manage AD's diary efficiently and effectively. Arrange internal/external meetings/conferences/seminars/training courses. Make Travel/Accommodation/Room/Catering Bookings
• Ensure cover arrangements are in place in AD's absence.
Administration
• Prepare draft agendas, collate information, distribute paperwork, track actions and take minutes as required.
• Prepare presentations, reports and briefing papers using varied formats.
• Organise/maintain efficient electronic filing systems, including recording, sorting, archiving documents in accordance with Trust Policy.
• Order stock/non-stock items as required.
• Undertake training in new technology and participation in personal development and implementation of new skills/systems.
• Perform routine tasks for members of the Senior Management Team as requested.



The Enhanced Recovery Service (RHS) covers Oldham, Rochdale, Tameside and Stockport.

We provide Inpatient beds for Males and Females aged 18 to 65 years of age. Services include Low Secure Recovery, Step-down, and Male and Female PICU beds. Some on hospital sites and some are standalone units.

About the role

GroupM Nexus is seeking a smart, enthusiastic individual to become an integral part of our Advertising Operations team. Our team is responsible for ad serving, creative asset management, web analytics, ad verification and the implementation of other optimisation technologies associated with the execution of digital advertising – and for ensuring digital campaigns are launched on time and run accurately. We provide consultancy to our clients and colleagues and are at the centre of all things tech within the agency. Our team is structured to provide a tailored approach that is both flexible and adaptable to align to our clients needs.

In this job, you'll be accountable for managing and supporting the Ad Operation team, leading and developing future proof workflows and processes to ensure we continue to deliver best-in-class ad operation tools. You'll also be designing specialised Ad Tech solutions across our portfolio of clients, using your knowledge of ad serving systems, Ad tech tools and other new and emerging technologies, to direct and advise stakeholders on the best course of action to obtain the best solution. You will also be working closely with other technology and data strategists, to ensure accurate measurement and tracking across clients’ campaigns .

Some of the things we’d like you to do:

• Manage and develop team members, including their successful induction into the team, the continual assessment of their needs, the delivery of training, and development of their Advertising Operations career.
• Support the recruitment of Advertising Operations resources; help manage and motivate the team on a day-to-day basis; ensuring appropriate resource allocation across clients, efficient workflow and flawless output
• Serves as a key escalation point or project lead (if required) for both internal and external stakeholder for clients and campaigns matters relating to Ad Operations such as;
  • Supporting the team in their daily campaign monitoring efforts to ensure campaigns are running as expected, providing optimization recommendations and escalating to third parties when appropriate.
  • Supporting in the evaluation of workflows and processes in order to streamline cross team functions while keeping us organised and efficient.
  • Supporting the development, implementation and management of Ad Operation standards and best practices across regional/ local teams in APAC.
  • Supporting the project management of creative specification requirements and digital asset delivery; coordinating timelines and leading communications with our agency partners.
• Maintain a high quality standard for the Ad Operations department to ensure 100% operational accuracy.
• Leading the Ad Operations Essence Media Health Check consulting service component on a client to client basis.
• Constantly seek new opportunities to drive added value through efficiency for clients while protecting their investment.
• Execute class-leading campaign tracking implementation strategies through Tag Management Systems as well as creating bespoke tracking code for complex mapping when necessary.
• Serve as a strategic partner for interdepartmental questions; attend internal meetings providing updates or consultation as needed.
• Present in internal team meetings and participate in client meetings.
• Support team leadership in the continual assessment of ad tech platforms and tools; and help lead in testing of different products, including client recommendations, implementations and consulting.
• Project manage and drive ownership of internal initiatives.
• Support client deliverables and projects on an ad-hoc basis.
• Act as an ambassador of ad operations across the agency. Train new starters and continually educate teams on recent developments; building advocacy across the agency.

A bit about yourself:

• 7+ years’ experience in ad operations
• A strong work ethic; able to work under pressure, meet deadlines and deliver results
• Well-developed organizational and project management skills, to ensure you can keep on top of your own and others workloads
• Fine-tuned communication, presentation and influencing skills; with an ability to think creatively and present in a manner that inspires and excites
• Computer literate with superior knowledge of Excel and a strong interest in internet technologies and media
• Knowledge of web technologies including HTML, JavaScript or PHP.
• Diligent with a strong attention to detail and able to deliver projects effectively and efficiently.
• You need to have a solution-based & active mindset, with ability to translate ideas to actions and answer business problems.
• Ability to prioritise a complex mix of work and manage time effectively
• Have an active interest in everything digital and advocate spotting and voicing new trends in the digital advertising industry.
• Thorough and investigative with the ability to identify ‘sales speak’ vs real benefits of a technology

• Experience of working with Campaign Manager 360, Sizmek, AdForm and other 3rd party ad servers

Clerical/Administrative Support:
Manages the flow of information to and from the Executive offices. Responsible for serving as personal administrative assistant to the ELT member involving a wide range and variety of administrative and secretarial duties. Establishes and maintains files of correspondence and documents. Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Composes and edits letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries. Screens all incoming mail, publications, directives, and periodicals. Assures that policies, memorandums, and other materials submitted are formatted properly, contain no spelling or grammatical errors and clearly articulate information. Reviews all outgoing correspondence for grammatical content, accuracy, conformance to VA correspondence format, established policies, and protocols for routing. Prepares draft documents and routes correspondence for signature. Establishes suspense files for pending actions. Prepares the agenda and minutes for multiple meetings.
